Order Digital Scans/Photocopies

**We are currently unable to accept a copy order, or invoice for a future order.  Our copying services are on hold and will be gradually introduced as staff and services return to campus.  Please see our website (www.gla.ac.uk/asc) for updates**


Permission may be given for researchers to take photographs of Special Collections material, at no cost, for the purposes of non-commercial research, teaching or private study. Decisions are made on a case-by-case basis at the discretion of Library staff. It may not be possible to grant permission immediately. If you wish to apply to take photographs, please speak to the duty supervisor in the Reading Room. The use of flash photography and accessories including light and tripods is not permitted.

If you require high resolution digital scans, these orders have to be sent to the photographic unit for processing and may take up to four weeks to complete. To order, we require you to complete a Photographic Order Form

Low Resolution Scans/Photocopying:

All low resolution (jpeg & pdf) scanning & photocopying is carried out by Special Collections staff. The copying of some material may not be possible if the copying process will cause harm to the item. Please note that we are usually only able to copy/scan small sections from bound volumes in order to avoid damaging bindings (up to 50 pages maximum). The duty supervisor will be able to advise you if copying is possible. To order low res scans or photocopies, please complete a Photocopy Order Form 

Placing Orders:

The relevant copy order forms are available on this page (above) or from staff in the reading room. Please ensure you complete full reference details for the items you wish copied and outline the service you require.

Orders placed in the reading room must be lodged with the Duty Supervisor at least 1 hour before closing. This ensures that there is sufficient time to check both the order and the items to be copied.

Orders can also be placed remotely. Please print, complete and sign the relevant form and return by post. A handling fee of £20 (including VAT) will be charged for all orders placed remotely.

Delivery of Orders:

We aim to complete orders as quickly as possible, however services are subject to the availability of staff and external services. We look to meet the following timeframes: 

Low resolution scanning/Photocopies: Within 5 working days

High resolution digital scanning/photography: Within 20 working days

All scanned images will be sent through the University's File Transfer Service. We recommend that electronic files are transferred immediately to appropriate storage as we cannot guarantee to be able to re-send files.

Paper copies can be posted out or collected from Special Collections. Postage charges will be applicable. Orders uncollected within two months will be posted out and invoiced accordingly.

Publication of copies:

Copies are supplied on the understanding that they are to be used only for the purpose of private study and research. If you wish to publish material supplied by Special Collections, please refer to our help on obtaining permission to publish. An additional fee may be charged for such reproduction.

We will send an invoice for payment after the order has been completed. details of how to pay will be included on the invoice. *Please note that a handling charge of £20 (including VAT) will be applied to all invoices raised*.
