PERSONAL INFORMATION UPDATES

Students are expected to keep their personal information up to date where possible on their MyCampus Student Center. The following is a list of information that students can change themselves.

  • Email Address
  • Emergency Contacts
  • Home and Term Addresses
  • Phone Number
  • Preferred Name

Students who need any of the following information updated are required to submit a personal information update request.

  • Date of Birth
  • Gender
  • Photograph
  • Primary Name
  • Title Prefix

Address and Contact Details

Students are expected to keep their address and contact details up to date themselves using their MyCampus Student Center. The Students Enquiry Team will not update any of the following contact details on request.

  • Email Address
  • Emergency Contacts
  • Home and Term Addresses
  • Phone Number

Date of Birth

If there is an error with the date of birth listed on your student record please be sure to check that your browser language settings are set to English (United Kingdom). MyCampus stores dates using a DD/MM/YYYY format, other language settings such as English (United States) display dates as MM/DD/YYYY which can lead students to think that their date of birth is recorded wrongly on their record.

If your date of birth is incorrect please submit a request on the UofG Helpdesk to have it updated.

Gender

Students can change the primary name and/or gender listed on their student record by submitting a request on the UofG Helpdesk.

To verify your identity, you will be asked for identification in your new chosen name or gender. If you cannot provide this, you will be able to make a declaration in writing using the declaration form below.

A change to your primary name on MyCampus will also change your personal details for the purposes of your degree certificate, home address, contact information, enrolment with your School, College or Research Institute, your student identification and email.

Further advice and support is also available for transgender students from the GULGBTQ+ Students' Society or the LGBT+ Network for Postgraduate students. 

International Students with Student Visa
UK Visas and Immigration regulations require the University to record your primary name on MyCampus exactly as shown on your student visa. International students can however amend their preferred name using their MyCampus Student Center.

This will update all relevant systems overnight, without affecting the primary name listed on your student record. Please refer to our MyCampus guides for more information on how to update your preferred name.

Photograph

Photographs will only be changed if the existing photograph is unsuitable (e.g. pixelated or blurry), inappropriate, or where a student has changed their appearance significantly since their original photograph was taken.

We can also upload a photograph for students who are struggling to do so during their registration and enrolment process.

Primary and Preferred Name

Preferred Name
Students can change the preferred name listed on their student record themselves using their MyCampus Student Center. The Student Services Enquiry Team will not update this for you. Please refer to our MyCampus guides for more information on how to update your preferred name.

Primary Name
Students can change the primary name listed on their student record by submitting a request on the UofG Helpdesk.

A change to your primary name on MyCampus will also change your personal details for the purposes of your degree certificate, home address, contact information, enrolment with your School, College or Research Institute, your student identification and email.

International Students with Student Visa

Academic Record and Study Dates

The Student Services Enquiry Team are unable to edit any academic information on your record such as start and end dates, academic plan, year and mode of study. If you require any academic information updated please contact your School or College office.

Research Profile

Research students should contact their College office for more information on how to update their research profile. Research staff can manage their profile using T4.
