Duplicate Student Records

A student should use the same Student Number (GUID) throughout their academic study, however there are circumstances where the system will create a new student number/GUID for them, for example if they withdraw and then return to study a new course, or graduate and then submit a new application under a different name without advising the University that they have previously studied here.

The Account Access Notification (AAN) email, sent to students whose records have become Term Active in MyCampus, advises students to raise a Helpdesk call if their GUID differs from one they have previously had:

“If you previously attended the University of Glasgow, and your GUID is different let us know by filling out the "Help & Support" form at glasgow.ac.uk/students/support as your existing GUID remains valid.”

Students are advised when they contact not to complete registration if they have not started to do so; we will then merge both records to the GUID the student has graduated on/the correct GUID, and inform the student and IT once we have done this, thus allowing the student to complete registration on the correct GUID.

If the student has completed registration or for example the duplicate is noticed a few months into the students programme; we will again merge both records to the GUID the student has graduated on/the correct GUID then inform the student and IT once we have done this.

IT Services will, where applicable, coordinate the alignment of other online University services (such as email, network filestore, Moodle, etc) and will contact the student if any changes require their attention. If there are any problems logging in, please contact the IT Helpdesk.
