Student Loans Company - University Responsibilities

It is essential for School and College staff to keep MyCampus student records up-to-date and record any:

  • Programme/Plan Changes
  • Suspensions
  • Withdrawals
  • Changes to academic load (e.g. from full-time to part-time)

This enables Registry to report changes in a student’s circumstances to the Student Loans Company (SLC) without delay.

Timely reporting helps protect students from unnecessary financial burden. If changes are not reported in good time, students may be incorrectly assessed for loan eligibility or overpaid, leading to unexpected repayments. It may also lead the University to receive tuition fee payments for which we are not eligible, which also need to be repaid.

Registration and Attendance Confirmation

Why it matters: Accurate enrolment and attendance data ensures students receive their funding on time and prevents overpayments.

  • Registry run a daily process to confirm student registration at the start of term. This is based on student-led MyCampus registration data
  • Registry report changes in attendance, withdrawals, suspensions, or transfers throughout the academic year. This is based on staff-led changes to MyCampus data
  • Registry use the SLC Higher Education Provider Portal to update records

Data Accuracy & Reporting

Why it matters: The SLC relies on our data to process loans and tuition payments correctly.

  • We must submit accurate student and course data (e.g. qualification level, duration, fees, registration status)
  • We must notify SLC of any changes to course structure or student status

Tuition Fee Management

Why it matters: Ensures correct fee payments to the University, and protects students from financial errors.

  • Confirm tuition fee amounts for eligible students
  • Adjust loan eligibility if students withdraw or change courses
  • Process refunds to SLC where applicable

Compliance & Audit

Why it matters: Upholding regulatory standards protects institutional integrity and student trust.

  • Comply with Student Support Regulations and Scottish Loan Repayment rules
  • Prepare for potential audits by SLC or government bodies
  • Maintain clear records of all communications and transactions

Supporting Students

Why it matters: Informed students make better financial decisions and avoid repayment issues.

  • Refer students to the SRC Advice Centre to discuss their eligibility for Student Loans
  • Signpost students to SLC and SAAS for more information on loan terms and repayment thresholds
  • Encourage students to keep their contact details up to date with SLC
