VC in JWS633

Room JWS 633 has a Videoconferencing (VC) facility. Please consider prioritising room bookings for this purpose.

If you need to use the VC equipment please declare it when booking that room so that it gets priority. If the required time slot is already booked for another purpose, existing bookings may be be bumped to another meeting room.

For remote contacts to connect to the VC unit they need to know the network name or IP address of our VC equipment.

Polycom VC Power/Sleep mode

The Polycom VC unit is always left powered on.

If there is no active video connections it will time out and put itself into sleep mode. When in sleep mode the camera points directly at the wall.

Please do not power off the VC unit at the wall.

Note that if the room is being used for a non-VC meeting then the unit will not automatically answer incoming calls, so non-VC meetings will not be remotely viewed or eavesdropped.

Setting up JWS633

AMX Control Panel

The control panel uses basic buttons to control the eqiuipment and input selection.

Projector on/off - self explanatory. Allow time for projectors to come on, one at a time... 

  • Left Projector, nearest window, is for video conferencing
  • Right Projector, nearest door, is for data (laptop/visualiser)

VC Unit - This MUST be ON for Video Conferences or you will not see the remote participants.

If VC Unit is off the projectors will display the chosen local input; PC, laptop or visualise.

Laptop - switches to use the VGA input from connected laptop

PC - To use the built in PC

Visualiser - switches to the free standing visualiser (if available)

Screen up/down - Puts the projection screeens up/down. Please leave DOWN - the projectors' focus setting is set yp match the projector screen position.

Pizza - Long meeting? This button will contact a nearby eaterie establishment who will call the extension in the room to take your order

If the projectors have not switched to VC mode even if the buttons look set correctly;
   * switch to PC
   * wait a moment
   * switch back to VC Unit
This will reset the projectors' mode correctly.

Projectors

Turn on the projectors using the button panel.

Only one button works at a time. Be patient - they take a few moments to warm up.

Make sure the room is set to "VC mode" otherwise you will not see the remote participants. See below.

Camera

Set the camera view to suit your seating plan.

Use the remote to point and zoom the camera as needed. You can see the camera view on the right hand screen.

You may need to close the blinds to improve the quality of video for the remote audience e.g. too much backlight coming in through the windows on sunny days... It has been known to be sunny!

Microphones

Place the microphones on the desk.

Make sure the audio lights on the desk microphones are as you need them.

  • OFF : you are not in a VC call
  • RED : you cannot be heard by the other callers
  • GREEN : you can be heard

Polycom mic

The Mute button in the centre of each mic will toggle you on/off. As does the Mute button on the VC remote.

Be aware of trailing cables!

Placing and Receiving calls

Placing a call

Press the Green Pickup/Call button on the remote control.

Enter the IP address of the remote participant.

You will hear the remote VC unit ringing.

When they answer make sure you un-mute the call.

If you have dialled the number of a hosting service such as Zoom or VScene, follow the on-screen instructions.

Receiving a call

You will hear the VC ringing

Press the Green Pickup/Call button on the remote control

You will be connected.

Un-mute the microphone.

Ending a call

Set the mic back to mute.

Simply press the Red Hang Up button on the remote control. If you are part of a multi way conference only you will be disconnected.
