Privacy Notice For Providing Support And Guidance To Student Carers

Your Personal Data

The University of Glasgow will be what is known as the ‘Data Controller’ of your personal data processed in relation to your self-identification as a student carer (i.e. a student who provides unpaid care for a friend or family member who cannot otherwise cope without that support). This privacy notice will explain how The University of Glasgow will process your personal data in this regard. 

Why we need it

The University of Glasgow has specific supports in place for any student who has caring responsibilities. We are collecting your personal data (name, contact details) here in this regard so that we can make you aware of the support that is available for you at the University, and to put you in touch with the relevant staff members who coordinate and facilitate this support.

If you agree to be contacted by the Student Carer Support Coordinator a further pop-up box will appear asking for your permission to let your Adviser of Studies/Advising Team and your Student Support Officer(s) know that you have caring responsibilities.

This Privacy Notice, therefore, relates to:

  1. You agreeing to share your contact details with the Student Carer Support Coordinator.
  2. You agreeing to have a Student Carer flag added to your student record, which will be viewable only by your Adviser of Studies and/or Advising Team.

Legal basis for processing your data?

We must have a legal basis for processing all personal data. In this instance, the legal basis is:

  • Public task/Official authority: this covers activities undertaken as part of the core functions of the University.
  • Consent: this allows your status as a student carer to be shared with specific staff members within the University of Glasgow. You can withdraw this consent at any time; and this status will not be shared with anyone else within the University without you first providing additional consent to do this.

What we do with it and who we share it with?

Self-identification as a student carer here will only ever be treated positively; to support you during your time at University.

The University of Glasgow has dedicated staff members, within the Widening Participation team, who act as named points of contact for student carers. The Student Carer Support Coordinators can provide information, advice and guidance on your studies, and help advocate for you, both within and without the University, if/when necessary. If you agree to be contacted by the Student Carer Support Coordinators, they will contact you directly by email (through your student email account) outlining their role, the support they can provide, information on the University’s Student Carers Policy, and guidance on who to contact to set up your Student Carer’s Plan. They will also add you to a mailing list so that they can contact you with further information on support and opportunities you may be interested in during your studies. The Student Carer Support Coordinators will not share your data with anyone else, without further explicit consent from you.

If, for whatever reason, you wish to withdraw your agreement in regards this question, after Academic Registration is complete, you can do so via MyGlasgow: ‘MyCampus > Student Center > Personal Information > Statistical Information’.

  1. As a student at the University of Glasgow you will also automatically be allocated an Adviser of Studies and/or an Advising Team; and you will have access to staff in the Student Support Officer role(s) specific to your School or College. These specific members of staff are there for students, to help support them during their studies.

If you think it would be beneficial to let your Adviser/Advising Team and Student Support Officer(s) know that you have caring responsibilities, you can also agree to share this information with these members of staff. It would be your Adviser of Studies/Advising Team or Student Support Officer, for instance, with whom you would complete your Student Carers Plan. If you do agree to share this information here, a flag will be added to your student record to indicate that you are a student carer. Only your Adviser of Studies/Advising Team and Student Support Officer(s) will be able to see this information.

Again, self-identification here as a student carer will only ever be treated positively; to support you during your time at University. Your Adviser/Advising Team and Student Support Officer(s) will not share your data with anyone else, without further explicit consent from you.

How long do we keep it for?

  1. Your contact details will be retained by the Student Carer Support Coordinators during the current academic year. After this point your data will be securely deleted (you will have the opportunity to agree to provide your contact details at registration each year).
  2. The Student Carer flag will remain on your student record during the current academic year. After this point it will be deleted (you will have the opportunity to agree to have the flag added at registration each year).

If, for whatever reason, you wish to have your details removed from the mailing list and your data deleted before this point, you can remove your agreement via MyGlasgow: ‘MyCampus > Student Center > Personal Information > Statistical Information’.

What are your rights?

You can request access to the information we process about you at any time. If at any point you believe that the information we process relating to you is incorrect, you can request to see this information and may in some instances request to have it restricted, corrected or, erased. You may also have the right to object to the processing of data and the right to data portability.

Complaints

If you wish to raise a complaint on how we have handled your personal data, you can contact the University Data Protection Officer who will investigate the matter.
