How to book a room/space in the ARC

For booking purposes, meeting rooms/space within the ARC fall within four categories:

A. Small meeting rooms (levels 3,4 & 5) - capacity for 4 or less. Available on an ad hoc basis to ARC residents only.

B. Meeting rooms (levels 3, 4 & 5 - capacity for 6 and above. Bookable by ARC residents only.

C. Meeting rooms (level 2) - various capacities. Bookable by all UofG staff for research-related activity.

D. Seminar and engagements spaces (level 2) - various capacities. Bookable by all UofG staff for collaborative research events, public engagement, networking and key UofG strategic activities.

A. Small meeting rooms (levels 3, 4 & 5)

Please note that these meeting rooms are open to ARC residents only.

All smaller meeting rooms on levels 3, 4 and 5 of the building with capacity for 4 or less can be used on an ad hoc basis by ARC residents only.

These rooms cannot be booked and are intended to be used for quiet work, Zoom and phone calls or 1-1 discussions. They are not intended for full day use.

B. Meeting rooms (levels 3, 4 & 5)

Please note that these meeting rooms are bookable by ARC residents only.

Meeting rooms on levels 3, 4 and 5 with capacity of 6 and above are bookable by ARC residents only.

These rooms can be booked via the UofG Helpdesk. Select the ‘Request or Report something’ option, then scroll down to or search for the ‘Business Systems: Request Help’ tile.  

Select the Category ‘Timetabling’ and the Subcategory ‘Room Booking Request’

Enter the details of your request in the 'How can we help you' box. Please ensure you include the following information to make a booking:

  • Date(s)
  • Time(s)
  • Number of attendees
  • Event title
  • Requested Room(s) 

Requests should be submitted at least 24 hours in advance. Timetabling will reply or confirm all bookings within 24 business hours.

Recurrent bookings will be accepted.

Please book rooms appropriate for the numbers attending and note that it is expected that room bookings which are not required will be cancelled.  

C. Meeting rooms (level 2)

Larger meeting rooms 223 and 225 (capacity 16-18, behind reception area); rooms 242, 243 and 244 adjacent to the main seminar room (capacity 4, 4 and 8 respectively) and room 224, are bookable by all UofG staff for research related activity.

These rooms can be booked by submitting a Non-Teaching Booking form available via the UofG Helpdesk.

  • Log into the UofG Helpdesk
  • Use the search box for ‘Room Booking: Non-Teaching’
  • Complete the form selecting the ARC and the preferred room plus any other requirements

Requests should be submitted at least 24 hours in advance. Timetabling will reply or confirm all bookings within 24 business hours.

It is expected that room bookings which are not required will be cancelled. 

Please note that although this form may give options for the Seminar Suite, Exhibition Space and Studio 2, the procedure for booking 'Seminar and engagement spaces' below should be used to request use of these spaces.

D. Seminar and engagement spaces (level 2)

The Seminar Suite (237A, 237B & 237C), Studio 2 and the Exhibition Space are available for collaborative research events, public engagement, networking and key UofG strategic activity. Please note that these spaces are not intended for hosting regular internal meetings.

These rooms and spaces can be booked by all UofG staff and research students. Please contact ARCEngage@glasgow.ac.uk in the first instance to discuss your ideas and requirements; you will then be asked to submit the proposal form accessed via the link below. We recommend that you check availability before submitting your proposal form. This can be done directly through the Timetable Viewer, which is accessible via MyGlasgow Staff Portal (you can log-in from MyGlasgow Staff) or in consultation with the team.

CATERING

Catering services are available for campus events. This service is not managed by the Events and Engagement team and staff must book catering through Catering Services.
