Who is the funded event / events aimed at?
- The event can be open to staff, students and members of the public.
- Specify which staff groups will be invited / involved.
- You will be asked to estimate how many staff will benefit.
- The Committee will prioritise applications with a high staff ratio.
What will the funding be used for
When the Bequest began, the funds were used to purchase newspapers for the College Club, to incentivise colleagues to step away from their workplace and socialise with other staff.

- The event can be part-funded by the Ferguson Bequest, and also receive other avenues of funding.
- Events can be free, have an entry charge, or a discounted rate fot staff.
- The event can raise money for charity, as long as you are transparent with your income and expenditure, and there’s a clear paper trail.
- Be aware of the updated Gifts & Hospitality Policy - informal entertaining should have a maximum limit of £50 per head, including VAT.
- Consider how you will advertise your event, particuarly to staff.
- Include a breakdown of each event, and the costs per person per event including catering, venue, etc.
Where will the event(s) take place?
- The Committee would strongly recommend using University venues and Catering, and preference will be given to events using UofG facilities*.
- Conferences & Events have various locations and packages available within a range of budgets and encourage conversations when arranging events.
- You can also view the Consumption of alcohol during work-related social events policy on the P&OD web pages. Alochol should not be the primary focus of any social activities.
- Any application requesting funding for alcohol will not be permitted beyond one drink per person - non-alcoholic options should always be available as an alternative.
- Do remember that if you are intending to organise an event off-campus for colleagues, then you should follow the relevant Procurement Policies. Payments to one-off suppliers are not recommended.
When will the event(s) take place?
- If you are organising a one-off event that isn’t part of your usual working activities, it doesn’t need to be during the working day, or during the working week.
- The key thing is that colleagues feel they can attend, but are not obliged to. However, the spirit of the Bequest was to step away from work and socialise with colleagues!
- Please note the Key Dates in terms of when you would expect funding to be available to help you plan the time of your event. For example, if you apply for funding in November, funding will not be available until January at the earliest, and should be spent by August.
Why do you want to arrange the event(s)?
- To foster the social side of University life!
- Successful applicants will be required to provide a short statement of success and feedback of the funded specifics.
*The Ferguson Bequest has partnership agreements for venue hire via National Museums Scotland and Royal Zoological Society of Scotland.
