CRM Update: We're entering User Acceptance Testing
What this means, what to expect, and how you can get involved
The University of Glasgow is introducing a new enterprise-level Customer Relationship Management (CRM) system.
More than just a technology upgrade, the CRM represents a step-change in how we work, enabling greater collaboration, and in phase one, supporting the enquirer, applicant and student journey.
The new CRM platform will streamline how we work, delivering seamless enquirer, applicant and student experiences with greater personalisation
and modern intuitive interfaces. The system will support seven key areas, which together span the student journey - from learning about the University to submitting an application and having it accepted.
User Acceptance Testing, or UAT, is the final phase of testing before a new system goes live. It is the stage at which real users, working through realistic scenarios, verify that the system behaves as intended and is fit for purpose in our specific context. This is an exciting opportunity for colleagues to engage with the platform and familiarise themselves with the functionality.
UAT is not about finding technical faults, that work has already happened. It is about confirming that the system works the way we need it to work, for our colleagues and our processes. Your participation and feedback during this phase directly shapes what we go live with.
UAT timeline at a glance

22 June |
Subject Matter Experts (SME’s) will conduct initial UAT testing Test scripts have been developed and refined, tailored to specific roles and scenarios relevant to each tester group. Our SME’s have been integral to this process, developing lived scenarios reflective of what we will encounter. |

25 June |
UAT Welcome session A 1-hour session for all testers. We will walk through the process, answer questions, and set you up for success before testing begins. Session will be held on Teams, calendar invite will follow. |

29 June |
Wider UAT testing begins Assigned testers begin working through their test scripts. Sessions will be scheduled in 2-hour blocks, so you can plan ahead. |

UAT closes and outcomes reviewed Findings are collated, reviewed with the project team, and any required resolutions are prioritised before go-live. Testing testing will be sequenced in the following way albeit will be subject to change depending on test outcomes.

What we hope to achieve
UAT gives us the opportunity to validate the system through the eyes of the people who will use it. By the end of the UAT period, we aim to have:
- Confirmed that core processes work end-to-end in our environment, with our data and our workflows.
- Identified and logged any issues or gaps that need to be resolved before go-live.
- Ensured testers feel confident using the system ahead of go-live, building familiarity through hands-on experience.
- Generated a clear, evidenced sign-off that the system is ready, giving the programme and stakeholders confidence to proceed.
Feedback from our testers is instrumental in shaping the formal training following UAT, training informed on the experiences, and created by our users for our users.
