Joining/Leaving the School

 Procedures for Students, Staff Members and Visitors Joining the School

  • The Research Group Leader to inform the Research Group Administrator of new members:
    • Name
    • Start date (and end date if short/fixed term)
    • Position
    • Room Number
    • Special requirements e.g. accessibility, short term accommodation
  • Upon the new member’s arrival, the Research Group Administrator needs to:
    • Provide room key and swipe card
    • Inform the new member about admin or IT support contacts and refer them to the School Handbook and Safety Plan
    • Explain the travel booking and expense claiming procedures, assist with any financial queries and provide copies of relevant claim forms as required
    • Add the new member to the telephone list and the appropriate mailing lists
    • Inform Janitors of the new member’s arrival and where they are based
    • Arrange for the new member’s name to be marked on their office door
  • All visitors should also be given a Short-Term Visitor form to complete. The Research Group Administrator must store this securely for the duration of visit then dispose of it carefully once the visitor has left.

Procedures for Students, Staff Members and Visitors Leaving the School

  • The staff member to:
    • Write a letter of resignation to the Head of School with a copy to the Group Leader
  • The Research Group Leader to inform the Research Group Administrator of the staff member leaving:
    • Name of staff member
    • Date of final working day
  • The Research Group Administrator to:
    • Remove the member from the telephone list
    • Remove the member from the relevant mailing lists (as per Group Leader instructions)
    • Ask the member for forwarding address to send mail
    • Retrieve swipe card and room key from the member on final working day
