Recording of sickness absence

Recording of sickness absence

To effectively manage the notification and recording of sickness absence within the School, staff are reminded that they are required to phone in to Eleanor Rae (0141 330 3001) on the first day of their sickness absence before their normal starting time or, where this is not reasonably practicable, within one hour of it in order that appropriate cover can be arranged.  If you are unable to reach Eleanor for any reason when you call, please contact your line manager directly and they will pass the information to Eleanor as soon as possible.

Please note that as all absences are recorded as open ended on the CORE HR system, it is the responsibility of staff to inform Eleanor on their first day back from sickness absence that they have returned to work – this will enable her to end the absence on the system.

Staff should also complete the appropriate return to work form when they return to work (which can be obtained from Eleanor).

When a staff member reports their sickness absence to Eleanor, this will be recorded on CORE, and she will advise the following staff of the absence:
for support staff - the direct line manager and Head of School Administration
for academic staff – RTG Leader, Co-ordinator of Staffing and any support staff that need to know for business reasons about the absence.
Information about the reasons for any absences will be treated with strict confidentiality at all times.

Please note that there may be a requirement for line managers and/or a member of the support staff to phone you back if there is a need in terms of workload management, e.g teaching or school placement cover.  During longer absences, you should continue to maintain reasonable contact with your line manager and ensure that any medical certificates and/or Fit Notes are sent to Eleanor promptly (Room 431, Level 4 StAB).

All staff are required to contact Eleanor on their return to work to complete a return to work form and to confirm the date of return. Your line manager should also have a discussion with you upon your return to work to ensure you are fully recovered and so that they can update you on any relevant work-related matters or developments that have occurred in your absence.
