COURSE ENROLMENT UPDATE JUNE 2025
In November 2024, the University held an institution-wide review of course enrolment, with representation from all four Colleges, including colleagues from Professional Services and Learning & Teaching. This review was initiated in response to the challenges experienced during the 2024/25 enrolment cycle, which significantly affected the experience of both staff and students.
As a result of this review, the Course Enrolment Project was launched in January 2025 to drive forward improvements.
We’re pleased to share that the Course Enrolment Project is making strong progress, thanks to the invaluable contributions of our Subject Matter Experts (SMEs), Steering Group and the many colleagues across the university who play a vital role in enrolment. The project team has also engaged with several forums over February/March to discuss the need for change and to gather insights based on the experience of those close to course enrolment at local levels, we would like to thank:

- Chief Adviser Sub-Committee
- Heads of School Forum,
- Learning & Teaching Committee,
- SRC representatives (including feedback from students),

As we look ahead to the next enrolment cycle in September, the complexity and scale of our course enrolment challenges demand a fundamental shift in how we operate. While we all recognise and respect the legitimate local differences that exist across Schools and programmes, this year it is essential that we adopt a more coordinated, standardised and institution-wide approach.
We want to move to a system that is easily navigable by all students, thereby reducing inequalities of access and supporting wellbeing. By working together to minimise duplication and hidden barriers, and by adopting joined-up and streamlined processes we will ensure a more consistent and positive experience for both students and staff.
To support this shift, building on the insights of our cross-University discussions to date, we will be implementing several key changes, including enhanced management of reserved course spaces, a broadened focus on block enrolment for 2025/26, and strengthened support for students throughout the enrolment process.
Reserving Course Spaces (Reserve Capacities)
To create a more streamlined and predictable enrolment process, we’re introducing new standardised guidelines for setting reserve capacities. These will be based on expected numbers of compulsory students, with an additional 10% allowance to account for other groups who may need reserved spaces—such as repeat students, year-abroad participants, or those retaking a course.
We understand that sometimes there may be a need to go beyond these limits, so we’re also introducing an exception approval process to ensure we can accommodate special requests when necessary.
Staff Supported Course Enrolments (Block Enrolment)
We’re expanding Block Enrolment across the Colleges this year. This means that courses with simpler structures—such as PGT programs, Honours courses, Dissertations, Projects, and Erasmus Mundus, will be included. This change will help improve enrolment efficiency and make the process smoother for everyone.

By implementing these updates, we aim to:
- Enhance student experience, reduce frustrations and unnecessary escalations.
- Free up staff time to focus on high-impact work rather than handling repetitive enrolment issues.
- Create more accurate and consistent enrolment data, allowing for better decision-making that benefits both students and staff.

We recognise that adapting to new processes takes time, and we’re committed to supporting you throughout. Additionally, the MyCampus team will offer classroom-based refresher training sessions for staff who support enrolment related activities across June and July.

Refresher Training
Our colleagues in MSDI will be hosting classroom-based refresher sessions throughout June and July. These sessions are designed to help you feel confident with the updates. MSDI will be in touch with the sessions dates and sign up information. Session numbers are capped, therefore we advise you to sign up as soon as you can.
We recognise that change requires adjustment, but these improvements are essential to creating a more efficient, effective, and consistent course enrolment experience across the institution. Achieving this will depend on our collective alignment and collaboration.
