Privacy Notice for the University of Glasgow Inkpath Platform

Your Personal Data

The University of Glasgow will be what’s known as the ‘Data Controller’ of your personal data processed in relation to accessing development training programmes and initiatives. This privacy notice will explain how The University of Glasgow will process your personal data.

Why we need it

We are collecting your basic personal data such as your name, email address, GUID and some additional personal information such as your College and start year in order to enable you to access, book onto and attend researcher development training courses, programmes and initiatives. Additionally, we hold records of each booking made through the Inkpath platform, which we will use for administrative purposes to manage registration, communications and attendance at our training programmes. We will only collect data that we need in order to provide and oversee this service to you.

Legal basis for processing your data

We must have a legal basis for processing all personal data. In this instance, the legal basis is Article 6(1)(f) legitimate interest, on the basis that it is in the interests of both the University, our staff, and PGRs to have an efficient way of delivering and managing training courses. The data you share will enable us to provide you with access to our training programmes and initiatives, allowing you to benefit from engaging in professional development activities during your time at the University of Glasgow.

What we do with it and who we share it with

The University of Glasgow holds some of your basic personal data and maintains records of each personal booking on courses run or organised by participating University training providers via the Inkpath application. The application includes a database whose data originate from in-app forms, and are entered by course participants, trainers and administrators.

The data is used for the following purposes:

  • To record and manage registration for each course for administrative purposes: to allow researchers to book training, to ensure that courses are not over-booked, to send out course reminders, and session joining links, etc.
  • To update course information: e.g. where a booking is cancelled, to record attendance, to let researchers know if a session has been cancelled, to record where a researcher has cancelled or to correct erroneous data.
  • To produce attendance lists for convenors and generate QR codes so that participants can check in on arrival at a course.
  • To produce statistical reports for management purposes, such as annual reports. Such statistics do not include personal data.
  • To provide training history records for course participants, trainers and administrators.
  • To monitor training provision and ensure that researchers’ training needs are appropriately met by our programmes and initiatives
  • To inform participants of relevant further training and development events.

The personal data you submit is processed by staff at the University of Glasgow in the United Kingdom and by Inkpath Ltd, in full compliance with GDPR regulations. Data will not be shared outwith the European Economic Area.

How long do we keep it for

Your data will be retained by the University for the minimum time required to support your use of the Inkpath platform. After this time, data will be securely deleted.

What are your rights?*

You can request access to the information we process about you at any time. If at any point you believe that the information we process relating to you is incorrect, you can request to see this information and may in some instances request to have it restricted, corrected or, erased. You may also have the right to object to the processing of data and the right to data portability. Where we have relied upon your consent to process your data, you also have the right to withdraw your consent at any time.

*Please note that the ability to exercise these rights will vary and depend on the legal basis on which the processing is being carried out.

Complaints

If you wish to raise a complaint on how we have handled your personal data, you can contact the University Data Protection Officer who will investigate the matter.
