Sharing Outlook Calendars

Step one: grant permission

To share your calendar with someone, you must first grant them permission to access it.

  1. Open Outlook and right-click on the Calendar folder you want to share
  2. Select Properties > Permissions
  3. Click Add, find the person to whom you want to grant access, select their name and click OK
  4. With the person's name highlighted, click the Permissions drop down box
    • For read-only access choose Reviewer (i.e. they can see you folder, but cannot make changes)
    • For write access choose Editor (they can see and edit items in your calendar).
  5. Once you have selected the appropriate permission level, click OK

Step two: open shared calendar

If you have been granted permission to access a calendar, you then need to open it in Outlook.

  1. Open Outlook and go to File > Open > Other User's Folder
  2. In the pop-up box click Name, find the person whose calendar you want to view, select their name and OK
  3. Pick the type of folder you want to see (i.e. Calendar), the click OK
