Sharing Outlook Calendars

Step one: grant permission

To share your calendar with someone, you must first grant them permission to access it.

  • Open Outlook and right-click on the Calendar folder to be shared
  • Select Properties > Permissions
  • Click Add, find the person to whom you want to grant access, select their name and click OK
  • With the person's name highlighted, click the Permissionsdrop down box
    • For read-only access choose Reviewer (i.e. they can see you folder, but cannot make changes)
    • For write access choose Editor (they can see and edit items in your calendar).
  • Once you have selected the appropriate permission level, click OK

Step two: open shared calendar

If you have been granted permission to access a calendar, you then need to open it in Outlook.

  • Open Outlook and go to File > Open > Other User's Folder
  • In the pop-up box click Name, find the person whose calendar you want to view, select their name and OK
  • Pick the type of folder you want to see (i.e. Calendar), the click OK
