Privacy notice for Scholarships

Your personal data

The University of Glasgow will be what’s known as the 'Data Controller' of your personal data processed in relation to Scholarship Administration. This privacy notice will explain how The University of Glasgow will process your personal data.

Why we need it

We need to collect your basic personal data (name, contact details, sex, date of birth, nationality/residency, gender identity) to facilitate and manage your application for a scholarship at the University of Glasgow. We will only collect data that we need in order to provide and oversee this service to you. Data held will include the personal details listed above, as well as information on the course you have applied to study and a record of your previous qualifications. We will also collect special category data (ethnic origin, biometric data processed for purposes of identification, health detail and sexual orientation) from you where relevant as required for consideration for certain scholarship funds.

Legal basis for processing your data

We must have a legal basis for processing all personal data. In this instance, there are two legal bases under which the University uses your data.

The University processes your personal data where it is necessary for legitimate interests including:

  • Assessing your suitability for a scholarship
  • Sharing it with the committee/review panel to determine your suitability
  • Administering/managing the scholarship award

Your special category data is processed under the following legal basis:

  • Explicit consent has been given by the individual

What we do with it

All the personal data you submit is processed by staff at the University of Glasgow in the United Kingdom.

Your data will only be processed for purposes relevant to the administering your scholarship application and will not be shared with any third parties with the following limited exceptions:

  • If you have supplied a referees contact details within the form on submission we will contact them with limited information about you to request they submit a reference.   If you have provided a reference we may contact the referee to clarify information.  We may ask a referee to verify information you have provided to us where relevant
  • If the scholarship you have applied to is funded by an external body, we may share your data with them


How long we keep it for

If you are awarded a scholarship, the University will keep your data for the duration of your studies. If your application is unsuccessful, we will delete your data within 12 months of informing you that you have not been awarded funding.

What are your rights?

You can request access to the information we process about you at any time. If at any point you believe that the information we process relating to you is incorrect, you can request to see this information and may in some instances request to have it restricted, corrected or, erased. You may also have the right to object to the processing of data and the right to data portability.

Complaints

If you wish to raise a complaint on how we have handled your personal data, you can contact our Data Protection Officer who will investigate the matter. Our Data Protection Officer can be contacted at dataprotectionofficer@glasgow.ac.uk.

If you are not satisfied with our response or believe we are processing your personal data not in accordance with the law you can complain to the Information Commissioner’s Office (ICO).
