BYRES COMMUNITY HUB - BOOKING CONDITIONS

Byres Community Hub offers free meeting, event and exhibition space to not-for-profit groups in our publicly accessible ground floor of the School of Health and Wellbeing’s (SHW) Clarice Pears Building Monday – Friday from 8am to 5pm.

Byres Hub was developed through a consultation and coproduction process and has continued to be community-led since opening in March 2023.  SHW has established booking conditions based on need, use and experience from the first year of Clarice Pears being open to the public to ensure equitable use and priority where need is greatest.

Bookings in any of SHW spaces should be for free activities/attendance or not-for-profit activities. Please see examples of our meeting space on our .

SHW will allocate space via enquires to byreshub@glasgow.ac.uk according to the following priorities:

  1. community groups
  2. voluntary/charity organisations
  3. social enterprises/community interest companies (not for profit)
  4. public sector organisations

Priority will be given to community groups based in quintile 1 communities according to The Scottish Index of Multiple Deprivation and then the following areas which are our neighbours: Partick; Thornwood; Broomhill; Firhill; Maryhill/Ruchill; Anderston and Govan.

Priority will be given to groups who could not otherwise afford to hire a space, or where there is no other local community service who might benefit from hosting their activity.

Priority will be given to meetings with community members/members of the public.

Bookings for team planning meetings etc for work which is helping to improve health and wellbeing in our communities is permitted but as the smallest meeting room has a capacity of eight, priority will be given to groups of five and above.

SHW spaces are not for individual office space but booking requests for small meetings of under five people will be considered for:

  • one-off bookings at short notice where there is availability.
  • not for profit startups until they secure office premises to support innovation and enterprise for up to 3 months.
  • voluntary organisations working with the most marginalised groups and/or protected groups with characteristics as set out in the Equality Act (2020)

Meeting rooms are not suitable for activities which might be disruptive to other users of the building such as music activities or some arts-based activities because they are carpeted and do not have sinks.

For larger events/conferences, priority will be given for health and wellbeing themed events which align with SHW aims to prevent disease, improve health and wellbeing and reduce health inequalities.

For exhibitions, priority will be given for health and wellbeing and/or inequalities-themed exhibitions that are community-led or coproduced with non-academic partners and are accessible to a non-specialised audience.  

Recurring bookings are unlikely to be accommodated more frequently than a weekly basis for our meeting spaces, an annual basis for our teaching (conference) space and up to one month for exhibitions, and SHW reserves the right to cap the use of the space on an annual basis for any one organisation to ensure that space is being allocated fairly. Priority for recurring bookings will be given to groups who are open to new members and therefore enhancing the offering within Clarice Pears for our local community.

There is no charge for use of space, but every booking is subject to adherence to conditions within the booking confirmation email (outlined below), and SHW reserves the right not to accept further booking requests if these conditions are not met.

  • Please advise if you need any specific room set up with seven days’ notice.
  • Please give at least seven days’ notice if you would like to book University catering. 
  • Clarice Pears is risk assessed and covered by the University’s public liability insurance. Risk assessments for individual activities are the responsibility of lead bookers.   
  • Please report to Clarice Pears Reception on arrival.
  • Please leave the room as you find it as we do not have a cleaning service in between meetings. General waste, recycle and liquid bins are located throughout level 1.
  • Dogs are welcome on level 1 of Clarice Pears in the main exhibition/café area (and meeting rooms subject to prior agreement with the rest of the group members) but must be always kept on a non-extendable lead in the Clarice Pears building and are not permitted on the furniture. Only Assistance dogs are permitted in SHW teaching/conference spaces.
  • Please be courteous to our staff and all members of our inclusive and welcoming hub community.
  • Please try to avoid cancelling or rescheduling bookings because of the administration work involved.  Our School support this function as part of our civic commitment but managing the inbox is not anyone’s main role.
  • Please if you do have to cancel, try to give us at least 48 hours’ notice as meeting rooms are in high demand.
  • Please advise if you DO NOT wish to be added to our monthly hub community newsletter distribution list.
