Update on Travel Services Contract

Published: 10 November 2015

The University will be changing its approved travel provider from December 2015.

The University’s approved travel provider is Capita Travel and Events (Capita). The University calls off the services of Capita through a Travel Services Framework which is managed by the Scottish Government, Capita were not successful in the Scottish Government re-tender (conducted this summer), resulting in their Framework ending on 30 November 2015.

Procurement managed a workshop with key stakeholders to understand our travel requirements and communicate available Procurement routes for a new Travel solution.

A small core team was established with the decision to conduct a mini-tender exercise from the Southern Universities Purchasing Consortium (SUPC) Travel Management Services Framework.

This tender has been completed with the successful bidders notified.  As of 01 December 2015 the following travel providers will be in place for the following services:

  1. Domestic travel (all travel within the UK) - Clarity Travel Management.
  2. International travel (all travel out with the UK)  -Selective Travel Management
  3. Hotel and Conferencing - Clarity Travel Management.

The travel providers are in implementation phase for ‘Go Live’ on 01 December 2015.  Further detailed information will be communicated to ensure smooth transition.

The Capita Glasgow office will close on 30 November 2015, due to the Scottish Government tender outcome.  This has resulted a fall in service levels as a number of the Glasgow team have left Capita, resulting in other offices supporting the University’s account.

Capita will continue to manage the bookings until 30 November, however they are prioritising travel by departure date.

It is recommended that if you have travel /event requirements post 30 November 2015, if possible, delay booking until 01 December 2015 to book with the new travel providers.
