Moodle custom reporting
Moodle now has core functionality included which provisions the creation of a suite of standard reports by Moodle Administrators.
Requesting Moodle Custom Reports
Only Staff can request Moodle Custom Reports
All requests will be reviewed, prioritised and progressed alongside other Moodle requests.
Custom Reports will only be provided under the following conditions
- The request meets the basic requirements of the Custom Reports feature in core Moodle i.e no additional custom development is required to accommodate the request (refer to note below on LTEC process).
- Staff requesting reports have the adequate permissions in Moodle i.e. you already have permission to view data across courses & categories in Moodle.
- The individual requesting the report confirms their personal responsibilities for Moodle data extraction (i.e, where requests require a periodic distribution of reports)
- All reports will be configured with appropriate ‘time’ based restrictions which will limit the inclusion of historical data i.e. reporting needs with requirements to view significant amounts of historical data for analysis / trend spotting will be reviewed as part of the LTEC process or as a focus on strategic reporting / analysis needs.
- It is crucial to take appropriate measures to secure any data you hold and to delete the data when it is no longer needed.
Requesting ‘non standard’ reports
Reports which are not available via Custom Reports requirements/ requests should be requested via the VLE Enhancement request process and will be subject to review at LTEC:
Monitoring of Service
Requests for report provisioning will be closely monitored and reviewed to ensure that the integrity and functioning of the core Moodle VLE service is not impacted in any way.
There will be a periodic review of reports made available to staff and obsolete / non utlised reports will be periodically removed from the system.
Accessing Reports
- Reports can be scheduled for distribution on a periodic basis via email or schedules will be configured by the Moodle administrators for reports to be generated outside of core operating hours i.e. scheduled to run overnight.
- If you are added as a recipient of a Custom Report, this will also allow the opportunity to run the report directly in Moodle if required to have up to date data in advance of the scheduled run.
- Accessing 'Reports’ is via your profile menu in Moodle. You will see the list of all Custom Reports for which you have permission to access / run.
- When reports are no longer required, staff should raise a Helpdesk ticket to request removal of access to reports. As per the note above on ‘Monitoring of Service’ , the Moodle team will periodically review usage of the reporting service.
Data sources
The data sources for reports are controlled and made available by Moodle HQ through periodic version upgrades to Moodle.
