1. Who We Are 

InFrame is a research culture initiative funded by the Wellcome Trust and delivered in partnership with the Universities of Glasgow, Edinburgh, and St Andrews (Grant reference 228092/Z/23/Z). Our mission is to build a more inclusive, collegial model of research leadership. Our website is a hub for sharing project updates, opportunities, activities and events, as well as fostering community engagement. 

InFrame is the “data controller” of your personal information. This means that we are responsible for deciding how we hold and use personal information about you. 

 

2. Information We Collect 

Your personal data, or personal information, is any information about you from which you can be identified directly or indirectly. This may be information you give to us or that we collect from you when you visit our website or when you contact us. The information we collect is, and will, only be used for one of the purposes outlined in this statement and where we have a valid legal basis for doing so. We may collect and process: 

  • Your title, forename, last name, email address, role and institution (when you subscribe or contact us to enquire about activities or events). 
  • Communication preferences and newsletter engagement data. 
  • Website usage via cookies and analytics. 
  • LinkedIn engagement insights (e.g., reactions, follows, shares). 
  • Voluntary submissions (e.g., forms, event signups). 

 

3. How We Use Your Information 

We use your data to: 

  • Register you for activities or events you have registered for and send emails, publications (blogs and articles), newsletters and updates you have opted in to receive. We use Dotdigital as our marketing automation platform. 
  • Share relevant opportunities and events. 
  • Improve our website and communication effectiveness. 
  • Monitor engagement and reach via LinkedIn (through analytics). 
  • Respond to your enquiries raised through our website and manage project involvement. 

Most commonly we use information we collect about you via our website in pursuit of our legitimate interest of engaging and informing the public about InFrame and its aims. Where you opt in to subscribe to newsletters and emails, your consent is the legal basis for our use of your information. You have the right to withdraw your consent at any time by using the ‘unsubscribe’ option in the emailed publications sent to you. Where you register for activities, events or services, we use your information to provide those activities, events or services to you. 

Publicly available information: in some cases, we receive personal information about you from publicly available sources, such as social media platforms or media reports. This information is only collected on an aggregated and non-identifiable basis, unless you are a public figure or a social media influencer (in which case your social media posts may be quoted directly).  

If you fail to provide personal information to set up an online account on our website, to subscribe to our newsletter or to register for our events, we will not be able to provide these services to you. 

Where necessary for the purposes described in this statement, we may share your personal information within InFrame as well as with our third-party service providers. We share your information with our email marketing and communications provider Dotdigital, run by the University of Glasgow, which distributes email publications and newsletters on our behalf, where you opt in to receive such publications. 

 

4. Marketing and Communications Tools 

Contacting InFrame over email 

You may give us certain information about you when you contact InFrame by email such as your title, forename and last name, job title, institution name, and contact email address. We collect this information from you to provide you with access to the InFrame colleague or section you are contacting us about, to handle your query or otherwise engage with you, to contact you about similar matters or opportunities in the future and to develop a relationship with you. We use this information on the legal basis that it is necessary to pursue our legitimate interest of answering your queries and engaging with you.  

Dotdigital 

We use Dotdigital to manage our mailing list and send newsletters. Dotdigital tracks engagement (e.g., email opens and clicks) and stores your data securely. You may unsubscribe or update your preferences at any time via the link in our emails. 

LinkedIn 

We use LinkedIn to promote InFrame content and events. LinkedIn provides aggregated analytics (e.g., impressions, engagement, demographics) that help us understand our audience. If you interact with our LinkedIn posts or follow our page, your public profile may be visible to us. We do not collect LinkedIn personal data beyond what you choose to share publicly. 

 

5. Legal Basis for Processing 

We process your data based on: 

  • Your consent (e.g., newsletter sign-up). 
  • Our legitimate interest in managing research communications. 
  • Legal obligations, where applicable. 

 

 6. Data Sharing and Storage 

Your information may be shared internally across the InFrame partner institutions solely for project-related purposes. We do not sell your personal data. Dotdigital and LinkedIn act as third-party processors and comply with UK GDPR (General Data Protection Regulation) and relevant data protection laws.

8. Your Rights 

We hope that you find the personal information that InFrame holds about you easy to access and updated, as it is important that it is accurate and current. At any time, you have the right to, amongst other things, access the information we hold on you or notify us that you no longer wish to be included on our database for marketing purposes. If you wish to contact us regarding your information, please send an email to inframe@glasgow.ac.uk. 

You have the right to: 

  • Access and correct your personal data: this enables you to receive a copy of the personal information (data subject access request) we hold about you and to check that we are lawfully processing it. You can also request correction of the personal information that we hold about you. This enables you to have any incomplete or inaccurate information we hold about you corrected. 
  • Request deletion of your data: this enables you to ask us to delete or remove personal information where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal information where you have exercised your right to object to processing. This means processing your personal information where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where we are processing your personal information for direct marketing purposes. 
  • Withdraw consent: for us to use your personal information at any time, where we are handling your information on the basis of your consent. 
  • Lodge a complaint: although we hope that you would never feel that you had to, you do have the right to lodge a complaint with the supervisory authority, the Information Commissioner’s Office: www.ico.org.uk.
