Our processes for attendance and engagement monitoring
The new systems and processes implemented in January 2025 for monitoring student engagement have been adopted well and there is good coverage across the institution, so Schools/Colleges are asked to cease any local methods for capturing engagement of student visa holders which do not feed into the APEX dashboard.
 
Schools who have previously used other methods (e.g. Moodle Attendance Plugin) for monitor engagement for all their students, not just those with a student visa, can continue to do so, but the Moodle Attendance Plugin will not be used as evidence of a confirmed check-in in AY 2025-26 for visa monitoring purposes. Only SafeZone check-ins will.
The new student-led digital processes facilitate attendance monitoring for our UKVI students and involve minimal input from academic colleagues in teaching events. The key change is that UKVI students must record their engagement, digitally, throughout the year. This will be done in two different ways.
- UG and PGT (teaching) students: download and check-in using the SafeZone app during classes.
- PGR (and PGT dissertation/project) students: submit new UofG Helpdesk Engagement Form.

Undergraduate & PGT (Teaching time)
- UKVI Students to Download the ‘SafeZone’ App
- Use the ‘Check In’ button to register their attendance at each teaching event on campus 
- UKVI Students need to ‘Check-In’ using SafeZone at least once per week

PGT (Dissertation/Project) and PGR
- Students to use ‘Engagement Form’ on UofG Helpdesk to record each supervisory meeting, removing the need for paper forms
- UKVI Students need to record engagement at least once every month
- UKVI students' supervisory meetings can be a mixture of face to face and online
- PGR / PGT supervisors will be required to approve the UofG Helpdesk form within 21 days
