Deleting and archiving content
It is good practice to regularly review the content you add to the website, to ensure it is up to date.
Deleting content
When you need to permanently remove content and ensure it is no longer on the live website:
- in t4, select the blue actions button next to the section or content you wish to delete
- select delete section or delete content
- confirm pop-up warning to delete
- after confirming the content or section will display in red
- move it into your local t4 bin.
Important - if you delete/bin your content instead of updating it with fresh content, there is a chance it may be retained on the live web server. If you are making large-scale changes, or if the content you are removing is misleading or reputationally damaging, contact webteam@glasgow.ac.uk.
Archiving content
If you wish to retain your content for re-use later, or for audit purposes, move your content or section into an Archive section.
Always set a Bin section as inactive and an Archive section as pending, so neither publish and both are easily identifiable by colour in your t4 site structure.
Create and populate a Bin or Archive section
- Select the Site Structure icon from the top menu
- Choose the blue 'Actions' button associated with your top-level section (usually the name of your college/school/service) and select 'Create section'
- Name the section 'Bin', set the status as inactive, uncheck the box called 'Show in navigation?' and select 'Save changes'
- Alternatively name the section 'Archive' and set the status as pending
(an inactive Bin/pending Archive prevents the contents of the section from being published) - Any time you want to permanently delete a section or content item, choose the blue 'Actions' button associated with it and select 'Move'
- A pop-up window will appear. Navigate and select your Bin/Archive section to move the content or section ready for deletion, or archving.
Important: Once the items in your Bin folder have been deleted, they will not be recoverable. The Web team will also delete the bin section itself. You will need to recreate this section in order to use it again.
