I need to readvertise a vacancy that was approved prior to 1st August 2025. Do these protocols apply to this vacancy?
Yes, any vacancies that will be readvertised following 1st August 2025 should follow these protocols. If your vacancy was previously advertised internally only and you now wish to advertise externally, you should seek approval via email from College/ US Executive (contact details for each College/ University Services noted below). A copy of this approval email should be provided to your Local Resourcing Coordinator (LRC).

I have previously recruited temporary agency staff for my service to support with short term cover. Will I need to seek approval before approaching an agency?
Yes, all agency use, including for temporary agency staff, should be approved via email by College/ US Executive prior to approaching an agency.
I would only like to advertise my vacancy within my College/ University Services initially, rather than across the whole University. What approvals do I need?
Please seek approval from the Head of P&OD for your area. A copy of this approval email should be provided to your Local Resourcing Coordinator (LRC).
Please note that all vacancies that are advertised internally, irrespective of whether the vacancy has been advertised at College/University Services level initially or across the whole University, will be open to all internal candidates who are eligible as per the Redeployment Policy.
I would like to advertise my vacancy externally initially without advertising internally first. What approvals do I need?
As noted in the protocols, exemptions to this internal first approach may be granted with justification and College/US Executive approval, based on:
- Strategic or operational risk
- Legislative or regulatory compliance
- Lack of internal expertise
- Urgency and service impact
Justification should be provided to your Head of Finance for taking forward to local approval groups (e.g. PRG, VAC), and if agreed, email approval for this approach will be provided by this group.
Is this protocol independent of the vacancy approval process?
Once a vacancy has been approved at local level, these protocols will apply.
