As part of the University’s Timetabling Programme, a University Timetabling Hub will be established to enable efficient and flexible utilisation of the University’s teaching estate.

We are transitioning from our current ways of working, which is highly fragmented across almost two hundred staff members, to a dedicated professional services team. This will improve consistency in our timetabling service, enhancing the experience of staff and students, and support improved efficiency of the University’s teaching estate.

This dedicated team will be based within the existing Space Management and Timetabling unit, within the Estates directorate, and will be responsible for the majority of processes related to the scheduling and rooming of class timetabling.

Thirteen new roles will be created within the Timetabling Hub, which comprise of four designated College Timetabling Partners, eight Timetabling Advisors and a Senior Timetabling Partner. The new model embeds a high level of connectivity with Colleges, in terms of maintaining strong staff relationships and local knowledge.

Some class timetabling activity, including change request submission, lecture recording opt-out, and the review and dissemination of the published timetable, will remain within Colleges for the immediate future.

We are keen to secure relevant expertise and experience for the new team. As such, we are engaging with staff whose roles have been substantially impacted by this change to transition to the new hub. For any remaining vacancies, a wider internal recruitment campaign will be launched from August 2025.

The planned go live date for the new hub is December 2025, in advance of commencing timetabling for AY26/27.
