Scanning and document management

Advice for University staff on scanning and document management services, plus details of the University framework supplier Capture All Ltd.

The University awarded a framework agreement to ‘Capture All Ltd’ in May 2015 for scanning and document management services, including large format drawing, archival documents, book scanning and off-site storage. Therefore, if you are undertaking any large or small scale scanning projects, please contact ‘Capture All Ltd’ in the first instance for advice and guidance on how to proceed.

If you are involved in an office relocation, or undertaking a scanning project of any kind, please contact the Records and Information Management Service (RIMS), who can offer advice on the following:

  • records retention
  • identifying original documents that may need to be preserved permanently in the University Archives
  • the appropriate destruction of hard copy paper records that are no longer required

A records retention schedule should be agreed and signed-off before the commencement of any scanning project.
