Recruitment Process Review underway

Recruitment Process Review underway in response to increase in scale and complexity of recruitment within the University.

As the University grows in complexity and size, our recruitment processes must be robust and agile enough to cope with these increased demands, and in response to this challenge a full-scale Business Process Review has commenced, writes Tracey Stirling, the UofG's Head of Recruitment.

Within Recruitment our top priorities are delivering an excellent customer experience to our internal customers, to prospective candidates and new colleagues and securing the best talent for the University of Glasgow. It is important we continually seek ways to improve the service we offer and we are delighted to have commenced a comprehensive, end-to-end review of the recruitment process.

Action to Date

Robust, honest feedback and support from across all areas of the University are vital in order to better understand the needs of our customers, those areas where we can deliver an improved service and how we can strengthen inter-team working to facilitate a stronger recruitment process.

A range of actions have been delivered across the University and facilitated utilising a range of approaches, including a number of workshops, to gain an accurate picture of the ‘as is’ process, and the issues surrounding the current provision and the impact of the recruitment process as it currently operates.

We have listened to feedback gained through a variety of channels and have documented an analysis of issues identified across the end-to-end process. With this feedback in mind, work has commenced in mapping out the future process. The issues highlighted below are being addressed prior to the full implementation of the new process:

• Amendments to the application process within current e-recruitment system
• Improvements to the staff request within Core system
• Review of current Job Seekers Register process
• Review of contract/terms and conditions templates and variations
• Access to generic bank of job descriptions

Expected Benefits of the Recruitment Process Review

• Streamlined end-to-end recruitment process removing duplication and reducing administrative activity on recruiting managers
• Skill set requirements at all stages of the process in the appropriate location
• Oversight and visibility of vacancies to all involved in the process
• Key touch points between HR Teams and Recruiting Manager
• Various checks and balances to ensure accuracy in the process
• Future fit for purpose Recruitment Team structure

Next Steps and Timescales

Consultation and validation of the streamlined process will through February to early March, with implementation and training delivered by the end of April 2017.
