Present were:

  • Ewan Lamont, Treasurer (Acting Chair)

  • Al McGowan, Roleplaying Convenor
  • Sunain Rai, Non-roleplaying Convenor
  • Brian Gillatt, Member's Convenor

Ewan opened the meeting by giving the Society Account Balance requested at the previous meeting. The Society account's balance currently stands at £781, £125 of which belongs to the Society rather than the Nationals budget. It should be noted that the Society has yet to receive its SRC block grant. Ewan estimates that, in the worst case, the current committee will leave their successors with about £125, plus what they take in during Fresher's Week.

Dax arrived with Style and Panache.

Sunain wished to clarify what exactly constituted the Nationals Budget. This money comes from delegates registration fees and from an SRC special submission. Hopefully very little of the cost would have to be covered by actual club funds, though it is a danger.

Discussion moved onto Prizes. It was decided that actual prizes would be preferable to trophies, and that Al and Sunain should shop around for these. Ewan reported that Games Workshop would be donating about £50 worth of stuff as prizes. Al offered the Society some pristine LARP equipment that he no longer used as a prize.

Jamie Thom, Nationals Convenor, arrived.

On Jamie's arrival, the committee turned to the problem of the Nationals Venue. The GUU had not yet completed their full quote for all services, but £50 for the Dining Room for wargames on both days was expected. Also it was expected that catering on the Sunday would be very expensive.
Considering this, it was provisionally decided to take the QM's offer, listing every privilege explicitly on our acceptance, and checking what our position would be were Ouch to fail.

The Much Requested Cuckoo's Nest Insurance document had been received.

Those Nationals delegates who had not chosen one were Assigned Categories. Al would think about room allocations for next meeting.

A short list of tasks to be attended to asap was compiled:

  • QM Committee Room, and TV Room booking
  • Williams Room booking
  • GUU Committee Room enquiries
  • Minibus arrangements to be obtained in writing

Various items relevant to Nationals Weekend were discussed. A timetable was agreed:

Friday 14th

2pm Registration opens in the Queen Margaret Union (QMU)
2pm - 6pm Minibus shuttle service to halls of residence
7pm Bar opens in Queen Margaret Union
7.01pm Late Registration moves to the Bar
9pm - 2:00am Cheesy Pop Disco

Saturday 15th

8:30am -10:00am Minibus shuttle service between halls and QMU
9:00am QMU Food Factory opens - breakfast available
9:30am QMU Player distribution in Qudos in QMU
10:00am Games begin
12pm - 3pm Lunch break at GM's discretion
4pm Food Factory shuts
6:00pm Games finish
7:00pm Bar Open QMU
8:30pm THE EVENT, QMU
GUGS 10th Birthday Party, to which you are all invited. Disco. Bar Promos. Much Silly-and-Entertaining-Goings-On
2am Crawl to bed

Sunday 16th

8:30am -10:00am Minibus shuttle service between halls and QMU
9:00am QMU Food Factory opens - breakfast available
9:30am QMU Player distribution in Qudos in QMU
10:00am Games begin
11:00am Trade Stalls open
12pm - 3pm Lunch break at GM's discretion
4pm Food Factory shuts
4:00pm Games finish
4:30pm All score sheets handed in
5:30pm Awards and closing ceremony
6:30pm All festivities end, people buy Jamie a pint then go home
6:31pm GUGS goes to a bar and gets rat arsed (again)
April 2001 We all turn up at who ever won this Nationals for the next one!

Brian agreed to write text for the programme, on social events, and an article for the GU Guardian.
Stalls would be arranged for Sunday only, as with our uncertain arrangements for the Saturday, it would be too much hassle.
If we were to sell tickets to non-delegates, we should do this in advance to stop people coming up from Ouch to take advantage of our promos.
Invitations would be made to SRC, QM Board and the Guardian and Media types.
The committee considered requesting a late license from the QM, but it was decided that, if we wanted people to roleplay the next morning, this would be a bad idea.

On this, the committee concluded their business for the evening.
