Timeline for notification of grant submissions

The College has introduced a formal mandatory process for notification of grant submissions to the Research Support Team.

This process applies where the University of Glasgow is the lead organisation on applications over £100k (cost to funder) for funding calls that have well publicised (or no) deadlines. This does not apply to funding calls announced at short notice.

  1. Principal Investigators (PI) must notify their Project Coordinator (PC) of their intention to submit a >£100k grant application ideally at least 3 months in advance of the submission date.
  2. PIs to provide their PC with a well-developed costing request form at least four weeks prior to the submission date.
  3. For applications involving animal experimentation a well-developed plan for animal use, and related costs, should be in place and discussed with Biological Services at least four weeks prior to submission date.
  4. In exceptional circumstances, where the above timelines cannot be met, the PI must discuss their application with their Head of School and the Head of Research Support to agree whether it can proceed.

This process will provide the opportunity for research governance requirements to be appropriately assessed and sufficient time to allowed to assess and mitigate risk, as appropriate. It will also allow more time for the PC to coordinate application development and costing support.

For projects with multiple partners this will ensure:

  • improved lead time for Heads of School and Research Directors to consider and prepare letters of support
  • a more strategic approach to the submission of applications
  • more dedicated time from the Project Coordinators and Research Development Managers to work with the PI to strengthen their application.

It will also help the Research Support Team to direct resources to support strategic calls, which often have short turnaround times.

  • successful proposals
  • template letters
  • hints and tips for developing proposals.

We also run the College Early Career Development programme and a Peer Mentoring Programme for PDRAs who are keen to develop fellowship proposals.

Even if you don’t quite know if they are the right port of call, we will be able to signpost you to the correct person/team.
