Privacy notice for students using Glasgow Careers
Your Personal Data
The University of Glasgow will be what’s known as the "Data Controller" of your personal data processed in relation to your use of the services available on the Glasgow Careers portal. This privacy notice will explain how The University of Glasgow will process your personal data.
Why we need it
We are collecting your basic personal data such as your name, student number, email address, contact information, nationality, course details, year of study, course details, graduation date, appointment and event attendance. If you opt to receive vacancy alerts, these details are also collected. This is collected for you to book appointments, to access details about events, register for events, provide feedback, apply for student opportunities and to access the jobs portal. We also carry out reporting on usage of these services. We will only collect data that we need in order to provide and oversee this service to you.
Legal basis for processing your data
We must have a legal basis for processing all personal data. In this instance, the legal bases are:
- legitimate interests
- to keep you informed about how we can help you and deliver the services we offer as effectively as possible to meet university strategies, we have ascertained that the use of data is legitimate
What we do with it and who we share it with
All the personal data you submit is processed by staff at the University of Glasgow in the United Kingdom. We also share details with GTI Media who are the suppliers of the Glasgow Careers portal. Data that we share with GTI Media meets industry standard protocols and is managed in a fully secure online environment.
How long do we keep it for
Your data will be retained by the University for four years after your graduation to help understand the relationship between student experience and student outcomes such as degree awards and progression into employment or further study. After this time, data will be securely deleted from both Glasgow Careers and the data warehouse.
Aggregated summary output data will not be deleted to allow for trend analysis. No identifying information will be used in the outputs of these statistical activities.
What are your rights?*
You can request access to the information we process about you at any time. If at any point you believe that the information we process relating to you is incorrect, you can request to see this information and may in some instances request to have it restricted, corrected or, erased. You may also have the right to object to the processing of data and the right to data portability.
Where we have relied upon your consent to process your data, you also have the right to withdraw your consent at any time.

Complaints

Privacy notice for Your Future survey part of student registration in MyCampus
Your personal data
The University of Glasgow will be what’s known as the ‘Data Controller’ of your personal data processed in relation to this annual Your Future Survey. This privacy notice will explain how The University of Glasgow will process your personal data.
Why we need it
We are collecting your basic personal data which is stored in the university’s student record system (MyCampus) such as your name, student number and email address, year and course of study and responses to the Your Future survey.
We are collecting this data so that we can understand your career support needs and signpost you to relevant resources. It will also be used to improve employability strategies and opportunities and to address issues which impact students’ career development.
We will only collect data that we need in order to provide and oversee this service to you.
Legal basis for processing your data
We must have a legal basis for processing all personal data. In this instance, the legal basis is: legitimate interest.
There is a legitimate interest in asking you to complete this survey to ask questions about your career planning and work experience with a view to making improvements for current and future students. We are seeking to understand student experiences to provide the most appropriate and impactful careers and employability programmes.
What we do with it and who we share it with
- All the personal data you submit is processed by staff at the University of Glasgow in the United Kingdom
- Data will be transferred to Glasgow Careers (UofG student careers platform) from MyCampus. Access to identifiable data will be restricted to staff for service planning and may be used to contact you to sign post relevant resources and opportunities based on your responses
- No identifying information will be used in the outputs of these statistical activities. Individuals will not be identifiable
- The aggregated, anonymised results will be shared with relevant University of Glasgow staff, employers and other parties we deem it is appropriate to share with

Your personal data
The University of Glasgow will be what’s known as the "Data Controller" of your personal data processed in relation to you attending a physical fairs and events organised and promoted by Careers, Employability & Opportunities. This privacy notice will explain how The University of Glasgow will process your personal data.
Why we need it
We are collecting your basic personal data such as your name, student number, email address and course of study. We collect this data by scanning you student card. We may ask you to record this manually if you do not have your student card available to scan. We collect this data so that we can analyse the year groups and courses that attendees are studying. This data enables us to review our offering and to understand the reach to the student cohort.
Legal basis for processing your data
We must have a legal basis for processing all personal data. In this instance, the legal basis is: consent.
What we do with it and who we share it with
All the personal data you submit is processed by staff at the University of Glasgow in the United Kingdom. We use this data so that we can understand the impact of our events and to analyse the attendee profiles and if we are reaching specific student cohorts. We share pseudonymised data and reports to employers that attend our fairs and events so that they can also understand the student profile and how they can plan to ensure they are reaching students who will be suitable to apply for the graduate work they provide within the labour market. We may also share pseudonymised data to academic and services within the University to show the reach and impact that our service provides. We attach your attendance at our fairs and events to your record within Glasgow Careers. Careers staff may review this information if they have a 1-1 appointment with you.

Privacy notice for students applying for internships via the Internship Hub
Your personal data
The University of Glasgow will be what’s known as the ‘Data Controller’ of your personal data processed in order to make an application for an internship advertised by the Internship Hub. This privacy notice will explain how The University of Glasgow will process your personal data.
Why we need it
We are collecting your basic personal data such as your name, student number, phone number, term-time address, title, course details and year of study, your education and work history, hobbies, referee details and other information that your provide. This is collected as part of our recruitment and selection process. We will only collect data that we need in order to provide and oversee this service to you.
Legal basis for processing your data
We must have a legal basis for processing all personal data. In this instance, the legal basis is: consent.
What we do with it and who we share it with
All the personal data you submit is processed by staff at the University of Glasgow in the United Kingdom. We share details with GTI Media who are the suppliers of the Glasgow Careers portal and the internship provider.
Data that we share with GTI Media meets industry standard protocols and is managed in a fully secure online environment. We share applications with internship providers via email and if you are successful in securing the internship we will also pass your email address and telephone number to the internship provider so they can contact you to co-ordinate starting arrangements and contract details.
How long do we keep it for?
Your data will be retained by the university for 2 academic years after your internship. After this time, data will be securely deleted.

If at any point you believe that the information we process relating to you is incorrect, you can request to see this information and may in some instances request to have it restricted, corrected or erased. You may also have the right to object to the processing of data and the right to data portability.
