FOREIGN PAYMENT PROCEDURES
Maximum claim amount is £1,000, if more than £1,000 a new supplier would have to be set up and PO raised. for expenses there is no maximum but must have all receipts sent with claim form, for foreign Stipend payments there is also no maximum.
- Beneficiary name must match name on bank account.
- Receipts/backup must be provided
- Only 1 weekly claim per person – if more than 1 claim they should be merged onto 1 sundry form
i) Claim forms will only be accepted from a University of Glasgow department not direct from beneficiary
ii) If paying a Company ensure the they are not already showing on Agresso as a supplier,
if they are a PO would have to be raised and inv sent quoting PO number.
iii) Form must be typed or completed in Capital letters and sent as 1 multipage pdf file.
iv) Make sure currency is a currency the University can pay in:
AUD - AUSTRALIAN DOLLARS
CAD - CANADIAN DOLLARS
CHF - SWISS FRANCS
CNY - CHINESE YEN
DKK - DANISH KRONE
EUR - EUROS
HKD - HONG KONG DOLLARS
JPY - JAPANESE YEN
NOK - NORWEGIAN KRONE
NZD - NEW ZEALAND DOLLARS
PLN - POLISH ZLOTY
SEK - SWEDISH KRONA
SGD - SINGAPORE DOLLARS
USD - US DOLLARS
ZAR - SOUTH AFRICAN RAND
Explanation of Intermediary Bank Details:
A beneficiary bank is the receiving bank where you have your account, the Intermediary/correspondent bank is a third
party bank used by the beneficiary bank to facilitate international transfer and settlement of funds
If payment is rejected and fault is with the University department then the sub-project stated on the form will be charged.
On occasion the bank may charge the University of Glasgow additional charges for transferring the funds and will charge
for cancellation of the tracing the funds.
The sub-project will be charged in this instance. Please also be aware that in some instances the return of funds can
resort in losses due to the exchange rate differences.
Bank Account Detail Confirmation best practice:
- Companies: Account details confirmed on Company Letter headed paper or on an invoice
Copy of a pre-printed bank account pay in slip
Copy of a cheque (scored through)
Copy of Bank Statement/Online Banking statement, Bank Account Details on – no transactional information.
