College Services Administrator (6 months Fixed-Term)

£19,000 per annum + benefits
We are looking to recruit a College Services Administrator to join our team at Glasgow International College.

Located in the leafy West End, on the campus of the University of Glasgow, Glasgow International College (GIC), has been helping prepare thousands of international students for undergraduate and postgraduate study at the University since 2008. Through a combination of flexibility, talent and enthusiasm, we dedicate ourselves to ensuring our students thrive academically and attain the required level for entry onto a wide range of degree programmes at the University of Glasgow.

The College Services team play a vital role in supporting the administrative services provided to staff and students within the College. The team provides support across a range of areas, including academic and quality assurance, student experience, progression, compliance, welfare and administration. Some occasional evening and weekend work may be required.

As a College Services Administrator, you will be responsible for supporting the day-to-day functions of College Services to ensure the effective and efficient administration of all processes and procedures within the college. This may cover all aspects of the student life-cycle, from registration, attendance, through assessment and examination, to completion and progression to University level study. The successful candidate will be part of a strong team supporting the delivery and development of the College’s services.

Main responsibilities and functions

Job roles may include:

• Assisting in the preparation of student and class schedules
• Assisting with arrivals, including airport pickups, and registration of new students
• Data entry and production of standard reports, management information, and student facing documents
• Assisting in all aspects of compliance within our regulatory framework.
• Maintaining the student management system to ensure student records are accurate and up to date
• Dealing with student enquiries
• Assisting with the progression of students to Higher Education
• Administration of assignment submissions
• Administration of student and staff feedback
• Assisting with the Kaplan VLE system
• Assisting with supporting our under-18, vulnerable and sponsored students and social programme.
• Any other reasonable duties as required by the Managers of College Services

Candidate profile

Essential

• SCQF 6/Level 3 qualification or equivalent, or relevant professional experience
• Experience of working in a busy office environment
• Strong interest in working with students and in particular international students
• A pleasant personal and telephone manner
• Excellent IT skills including MS Excel and Word
• Excellent organisational skills and attention to detail
• High level written and verbal communication skills
• Willingness to work flexibly and to tight deadlines when necessary
• Strong and proven commitment to a customer service and teamwork ethos

Desirable

• Experience of working with international students
• Experience of working with large scale databases
• Administrative experience in the tertiary education sector
