Certifying Letter

What it contains:
  • Your student number
  • Your name
  • The name and duration of your course, current year of study and mode of attendance

Please note we are only able to include information that can be verified from University records.


Cost:
  • Currently registered students - No charge for first 5 copies then £1 for additional copies per request
  • Former students and graduates - £10.00 for first copy plus £1.00 for each additional copy per request.

How to apply:

Please note: it is not possible to apply for a certifying letter or make payment via the telephone.


Timescale:

Normally certifying letters can be prepared within 10 working days from the receipt of the application or processing of payment where applicable.

During our registration period (end of August - start of October) the preparation time is 15 working days.

Because of the personal nature of the information that exemption/discount forms and certificates of student status contain, they can only be requested by third parties (e.g. flatmates, landlords, parents) if the student to be named in the exemption/discount form or certificate of student status has given his/her prior written consent.

Third parties who collect a certificate should bring proof of consent (a signed note giving full details of identity or the student card).

Council Tax Exemption

Step 1:

Request an application for exemption, often referred to as a "Council Tax Discount Form", from your local council tax office.

Step 2:

Get your exemption form authorised by bringing it into the Service Desk on level 2 of the Fraser Building together with your student id card.

Alternatively, write your student number on the top and post it to:

Once we have authorised it we will post it back to the address on the exemption form.


Step 3:

Send the authorised exemption form back to your local council tax office. You are advised to keep a copy of the exemption form in case it goes missing and your local council asks you to provide another copy.

If you are sharing with other students it is best to send all the completed exemption forms back together for faster processing. 

Please note: Under Council Tax legislation you are required to inform your local authority Council Tax Office if you cease to be eligible for a discount or exemption.

Further information

University of Glasgow degree parchments are issued in Latin. Sometimes organisations/potential employers request that you send a copy of your degree translated into English. You can organise this by requesting a degree translation

Degree translation

What it contains:
A translation into English of the details contained on your official University of Glasgow degree parchment.

Cost:
£10.00

How to apply:

Normally degree translations can be prepared within 10 working days from the receipt of the application or processing of payment where applicable.

During our registration period (end of August - start of October) the preparation time is 15 working days.

New entrants are issued with their student ID cards at registration after completion of all necessary formalities. Please keep your card safe as it should last for the duration of your programme of study.

Students in the final year of their programme should note their student ID card has an expiry date on it, normally a few weeks after the official end of their programme of study, and that after this date they will no longer be able to use their student ID card to access the Library and some other facilities as a student.

Final year students who may have resits examinations should visit the Service Desk on level 2 of the Fraser Building and their Student ID Card will be reactivated to enable them to access the Library.

Replacement Student ID Cards

Place of issue:

Replacement student ID cards are issued by the Service Desk on level 2 of the Fraser Building between the hours of 0900 and 1645 weekdays (0930 - 1645 on Wednesdays).


Replacement cost:

A replacement student ID card costs £10.00.

This charge is waived if the card has been stolen in an incident reported to the police and you have a crime reference number or a slip from the police stating a theft has taken place.

References

Reference requests:

Reference requests from an organisation must be on headed paper.  We must receive written consent from the student, stating that we can release information on them to the organisation making the request. 

The Student Services Enquiry Team can provide information on attendance and course of study, but normally employers prefer a more personal reference. Requests for references addressed to the University, the Registry or Head of School take longer to respond to and may not receive such a comprehensive response as those addressed personally to members of academic staff.

Please note that we do not give out information about students in response to telephone queries. Please obtain permission from a member of academic staff before giving their name as a referee.

Transcripts

Eligibility:

We can provide transcripts for most undergraduate and modularised taught postgraduate programmes.

Students on research degrees and those on non-modularised postgraduate taught programmes will be issued with a letter certifying attendance, programme of study and, if applicable details of award and graduation.


Cost:
  • Currently registered students - No charge for first 5 copies then £1 for additional copies per request
  • Former students and graduates - £10.00 for first copy plus £1.00 for each additional copy per request.

We regret that academic transcripts cannot be issued until payment, if appropriate, has been received.


How to Apply:
  • Complete a Transcript Form and send to us as detailed on the form
  • Complete a Payment form and send with your application as appropriate
  • Alternatively you may visit the service desk on level 2 of the Fraser Building and complete an academic transcript application in person.

Please note: it is not possible to apply for a transcript or make payment via the telephone or e-mail.

Other:

If you studied B.Ed. or P.G.C.E. at Notre Dame College of Education, Craiglockhart College of Education or St Andrews College (Bearsden) prior to 1999 then you need to complete a seperate transcript request form:
