Records and Enrollment -> Student Summary
This is a 'read only' summary of a student. You can view the following information:
  • Program and plan
  • Academic load
  • Term information
  • Service Indicators
  • Enrollment details
  • Instructor / adviser information
  • Student contact details

Navigate to: Main Menu > Reporting Tools > Query > Query Viewer

Registration


UOG_REG_001
This query will pull a list of all students in the Pilot Programs. It will display their Registration Status (Academically Registered, Financially Reg, Fully Registered).

UOG_REG_002
This query will pull a list of all students term activated on each Program within a specific Academic Organisation e.g. School of Life Sciences.

UOG_REG_003
This query will pull a list of all term activated students who have NOT registered within a particular Program.

UOG_REG_004
This query will pull a list of all term activated students who have started Registration but have not completed it i.e. they may have completed ten steps of Academic Registration but not completed it.

Enrolment


UOG_ENR_001
This query will pull a list of courses (by term and subject) and the number of students enrolled on each course. Catalog Nbr is an optional criteria – to include all courses in a subject enter a ‘%’.

UOG_STUDENTS_IN_TERM_2
This query will pull a list of all students in a specific Program and the courses they are enrolled on.

UOG_STUDENTS_IN_TERM_3
This query will pull a list of student details (Student ID, Name, Academic Plan, Academic Level, Personal and University email) for all students in the Pilot.

UOG_STUDENT_ENRL_CHANGED
This query is run by Advisor ID to review a student’s curriculum. The query is run by ‘action date’ so can be used to check student curriculum changes after the Enrolment Adviser has reviewed the curriculum. The query will show a Student ID and student name for any student who have altered their enrolments.





There is a Query to report on this.

  1. Navigate to:
    Main Menu -> Reporting Tools -> Query -> Query Viewer
  2. Enter UOG_REG_001C in the search by field
  3. click Search
  4. In the search results, this query will appear, click HTML (to view on screen) or Excel (to export to excel)
  5. Enter the institution and plan details and click view results






You can assign as many service indicators as you wish.
The number of service indicators will not increase the number of stars or hold signs - but when you go in to have a look - you will see the information for as many as you have security access for.







There is an audit trail ( security permitting ) which can be found following this navigation path:

It is possible for more than one person to view a record at the same time.
In the very rare situation where two people are trying to edit a record at the same time, the person who attempts to save the record last will receive an error message saying that the data is inconsistent and that the record cannot be saved.







Advisors of Study and some administrator roles have access to Correction mode.

You can look at the Student's advisement report in a two ways:
1. Via the Student Centre - Campus Community > Student Services Centre > Student Centre
Choose the ‘other academic’ dropdown and select Academic requirement. Press go.
2. Run an advisement report - Download the Advisement report PDF.
The advisement report shows the compulsory and optional courses a student is required to take for each year of study.









As an adviser:
Self Service > Adviser Centre > My Advisees
1. Click on the student to enter their student centre
2. Click the Academics Tab
3. Click the edit program data tab

Directly:
Records and Enrollment > career and program Information > Student program / plan
1. Search by a student id or last name, first name

You will need to re-allocate advisers to the student once this program and/or plan change has been made.
This process is also included in the PDF document.









When students are admitted to a Plan, they will be given an "Admit Term” and a "Requirement Term". Both values will normally be the actual year of admission (e.g. 2011 for new first year students). Admit term should not normally be changed unless a student starts at the beginning of new Program/Plan. This means that a student (progressing normally) starting year 3 in September 2011 will have started in September 2009. He or she will have a Requirement Term of 2009.

The intention is that the Academic Advisement rules only help students going forward and do not to check historical data. So, for example, students going into year 5 September 2011 will only see year 5 requirements. Students entering year 1 in 2011 will see requirements for all years.

The problem arises when a student “drops a year” and takes more than the normal number of years to get to his or her current stage. For example, a student starts year 1 of a 4 years Honours program in 2008 but for some reason repeats year 1. This student was in year 1 (again) in 2009, year 2 in 2010, so is due to enter year 3 in 2011. But, because the Academic Advisement rules have been written to expect 2008 starters to be entering year 4 in 2011, this student will (incorrectly) see only requirements for year 4. It is necessary to change the requirement Term of this student to 2009.

You may also wish to change the requirement term for students transferring from Honours to an Ordinary/Designated degree.

Students may still swap course after you have checked their enrolment. There is a query that allows you to search for these students:
Main Menu>Reporting Tools>Query>Query Viewer
Search for Query: UOG_STUDENT_ENRL_CHANGED






An academic standing action code is a code attached to a student which indicates whether a student is “on track” towards their chosen qualification. The code is linked to the Term (academic year).

The academic standing column for Students who are term activated will be blank. However, for this academic Year 2011 - 2012 some students will display as 'In Review' These students need to be looked at by an adviser and have the academic standing code changed to an appropriate value. When this has been done, they will be Term Activated by the system.

You should check the following issues to see if these are preventing a student from enrolling:
Check if they have any negative service indicators (via the student summary page)
Check if they have completed both academic AND financial registration (via the student summary page)
Check if their advisement report is correct (either run an advisement report or check the student's advisement via the Student Cntr)






Part time students don’t have to complete financial registration until they have completed enrolment because they are charged according to the number of units they are enrolled on.
They may need to have 'eligible to enrol' set on their Term Activate a Student record.

Most students should be able to enrol on all their courses themselves. However, occasionally you may need to quick enrol a student onto a course especially if you have to override something that is preventing the student from enrolling.
