Computers

The University recognises that the majority of staff and students use computing equipment extensively. It is therefore important to provide a working environment, facilities and information that permits such activities to be carried on with minimal risk to the health and safety of individuals. The documents listed below provide guidance on the issues involved.

The law
The Health and Safety (Display Screen Equipment) Regulations 1992 (amended 2002).

What is display screen equipment?
Display screen equipment means a display screen, usually forming part of a computer and showing text, numbers or graphics – e.g. desktop computers, laptop or notebook, and any other equipment containing display screens.

 What does the law require?

  • Subject to certain criteria, all DSE workstations must meet minimum health and safety requirements, and require assessments to check this.
  • Where workstations are used by designated "Users", further assessment is required.
  •  "Users" must be provided with adequate training and information about DSE use.

The risks
The most common type of complaint associated with computer use includes pain in the arms, hands, neck and shoulders (known as work related upper limb disorders - WRULDS) as well as back pain.
Possible causes include:

  • Sitting for too long in one position particularly if on a badly designed chair or one that is poorly adjusted;
  • Insufficient breaks;
  • Awkward positioning of hands at keyboards;
  • Non work factors (e.g. sports or hobbies).

The controls
All workstations have to meet minimum health and safety requirements.  Where a workstation is used by someone identified as a "user", further assessment is needed.  For full guidance on identifying users and carrying out assessments see “Safe use of computers and display screen equipment”

Training & Self Assessment
The University encourages a self- assessment approach. The guidance documents in conjunction with the Computer & DSE assessment online training on Moodle can be used as guidance on how to conduct a workstation self-assessment. These documents are intended to lead those who are inexperienced in making such an assessment through the process and also serve the function of providing a basic level of training. 

Click on the link above, you will then be asked to login using your GUID and password. Once you are logged in select 'Safe Use of Computers' training. This consists of a DSE presentation and interactive guidance.

Once you have completed the presentation, please proceed to the Moodle Quiz.  You may then conduct a self assessment of your workstation using the Computer Equipment and DSE Checklist. Consult your line manager or safety coordinator should you require further assistance.

It is essential that a record of the assessment process is produced and kept available.

Waste disposal

When disposing of computing equipment you must comply with the Waste Electrical & Electronic Equipment Regulations. The University has developed procedures to help you in this and further information is available in the Waste section of SEPS web site.
