Research Councils UK (RCUK) have launched a new web based system called Research Outcomes to collect data on outputs from AHRC, ESRC, BBSRC, EPSRC AND NERC
This relates to all Principal Investigators (PIs) with one or more grants that have started since 1 April 2006.
In common with other institutions, the University of Glasgow wants to minimise the burden on staff of re-keying data for different purposes. Much of the data requested by RCUK is already held in core University Systems. For example, publications for University of Glasgow staff are already held in Enlighten. RCUK has provided us with a bulk upload system for publications so we can harvest all publications and send them to RCUK on your behalf.
Over the coming months, RCUK will be providing research organisations with bulk upload facilities for data on other types of output. Amendments may be made to core systems to facilitate this.
Should you receive an e-mail from RCUK requesting that you update the Research Outcomes System with data relating to your awards, you DO NOT need to update information directly to the Research Outcomes System. We plan to provide this information to RCUK on an institutional basis to avoid duplicate data entry and facilitate re-use of data.
THE NEXT OFFICIAL RCUK DEADLINE IS 2ND APRIL 2013. ANY PUBLICATIONS OR KEY FINDINGS LINKED TO RELEVANT RCUK AWARDS IN ENLIGHTEN BY ***18TH MARCH 2013*** WILL BE SENT TO RCUK IN BULK
Please be reassured that it is not necessary to add other outputs just now. RCUK are primarily concerned with publications at this time. They are focusing on research grants and not currently collecting data on Referee Incentive Schemes, EPSRC Institutional Sponsorship Grants, training grants (e.g. Knowledge Transfer Accounts), Doctoral Training Accounts and Vacation Bursaries.
Our current plans are:
- Books, Journals, Conference Proceedings, Other Publications - We are bulk uploading any of these linked to Research Council awards in Enlighten.
- Key Findings - These can now be added to Enlighten and we will bulk upload them to the RCUK system.
- Collaboration, Further funding - We are testing extracts of this data from the Research Support System. Any awards for the same or linked projects will be supplied to RCUK where the publicity flag on the award is 'YES'
- Staff Development - The storage and provision of information regarding next destinations and skills is being explored with the HR Operations Manager. We are considering adding esteem data to the Enlighten repository.
- Intellectual Property, Exploitation Mechanism - We expect to extract data from the Research Support System. Any awards for the same or linked projects will be supplied where the publicity flag on the award is 'YES'. The IP Team (Research Strategy and Innovation) are being consulted.
- Communications Activity, Other Research Outputs - We are awaiting a bulk upload mechanism from RCUK. We expect that many of these outputs can be included on Enlighten.
- Impact, Policy Influence - We are testing screens to enter these details into Enlighten and hope to make these live early 2013.
- Datasets - We have just made live a basic metadata collection similar to the system we use for publications and have asked a few researchers to comment on this before rolling it out more widely. If you have any outputs for which there is currently no obvious home on Enlighten or the Research System please feel free to send these to us at deposit@lib.gla.ac.uk and we will ensure they are entered onto one of the core systems as soon as possible and are returned to RCUK ROS. We will extract all relevant entries from Enlighten and the Research System and send them to RCUK ROS in future bulk uploads.
Note that Research Councils only want us to provide information that is suitable for the public domain. Please DO NOT enter anything on Enlighten that is not suitable for public consumption.
The awards in the Research Support System contain a publicity flag and we will only provide RCUK with award and output details relating to awards with a publicity flag of 'YES'.
To access Enlighten and make deposits or check what is already recorded against your name visit:
Staff should ensure that their research outputs are associated with the relevant award.
When adding a new research publications to Enlighten staff should choose the “associated awards” option from the drop down list and select the relevant award(s) which funded the publication. You should also review your existing publications and link them to relevant awards in the same way. We will then be able to report publications to RCUK against the appropriate award.
If the award does not appear in the drop down list please contact deposit@lib.gla.ac.uk
DO NOT type awards into the boxes using free text - this will not be linked to the award - only choose from the dropdown list.

Latest Update
A bulk upload submitted 12th March 2013 has not yet been confirmed by RCUK. RCUK are investigating the success (or failure) of the records in this transfer.
We will ask RCUK to confirm which awards do not have any outputs attached to them, check if they do have outputs in the University core systems, and let College Administration know where they have neihger so that they can facilitate future deposit of outputs for awards where outputs exist.
We expect compliance rates to rise as we continue to link outputs to awards and the infrastructure is put in place to bulk upload additional output types.
Some of the outputs will be displayed on the 'Gateway to Research' portal that RCUK have launched.

Note that MRC and STFC have a separate system and communicate directly with investigators. At present there is no way for us to bulk upload data direct for these Research Councils.
