Description of services

SharePoint is a collaboration tool and provides a MySite with personalised links to existing University IT services.

Collaboration tools to allow students and staff to set up shared workspace or web sites for peer working with tools for : different site templates,  document sharing, announcements, blogs, wikis, surveys, lists, alerts, discussion boards, workflows, versioning, surveys. There are a number of features which integrate with Microsoft applications.

A personalised MySite with links including Outlook mail, Library record, WebSURF, Moodle, Enlighten, IT Helpdesk.

Entitlement

Students and Staff (including users registered with Honorary and Associate status) who have a registered GUID.

Availability

24x7x52 subject to occasional maintenance downtime

Service adoption enquiries

All users automatically have access.
Schools/Services or Student Clubs/Societies can also apply to have their own SharePoint site collection. There is an approval process and at least two responsible Site Administrators are named. Details are on the site collection application form.
Teams within Schools or Services can obtain a Site from their School/Service Site Administrator.

Support
Training

A guide to MySites and Team sites can be accessed from the SharePoint landing page.
Approved Site Administrators for School/Service/Other sites will be provided with a half-day training from the IT Services Training team as part of their responsibilities. Information will be provided to individuals following receipt of an approved application.

Service standards

Acknowledgement of calls within 8 business hours and resolution within 40 business hours in normal circumstances.

Charges and fees

No charges. The standard service does not include site specification and advice which is the responsibility of the Site Collection Administrator.

Customer Obligations

As with all University IT service, users must adhere to University and the Janet Acceptable Use Policies. In addition the Guidelines to Electronic Publishing should also be followed. See http://www.gla.ac.uk/it/regulations.
You should not do anything that might:

  • interfere with the work of others
  • put the University’s reputation at risk
  • put your own work, or reputation at risk


If inappropriate material is discovered this should be reported using the Details link under “Regulations” section on the SharePoint landing page.

Site Administrators: Site Administrators are not permitted to grant Site College Administration privileges to another user.
