About the phone system

The university is currently carrying out an upgrade to the telephone system as the old system is no longer fit for purpose.

The project will be rolled out over all the colleges and university services in 2012. You will be contacted before the change to the new system is to take place in your building. 

Please note that not all staff will receive a new handset in this rollout.  This is because new handsets require network connections  and in some buildings, cabling difficulties mean there are a limited number of network connections.  Until these difficulties can be overcome, some staff will retain analogue handsets.

The new phone system provides a host of new features for staff as well as multiple ways of performing basic tasks.

It is based on Voice Over Internet Protocol (VOIP) which is a technology which uses the University's data network for voice communications.

  • Unattended phones for corridor, labs, etc.
  • Standard desktop phone
  • Switchboard phone with multiple lines.
 

 

The project board has agreed that the charging model for the old telephony service should apply to the new telephony service for the duration of the Project implementation. When all users have been migrated to the new service then a review of applicable charges will be undertake.

The cost for a new phone and extension is as follows;

  • Line rental per extension  -  £63.00 per annum charged on a monthly basis.
  • Telephone setup charge - £70.00 (assuming no asbestos issues).
  • Supply of standard handset (Cisco 6921) - £25.00.
  • Supply of switchboard handset (Cisco 6961) - £190.00

Additional charges will apply if a new socket is required. Unfortunately it is not possible to give a fixed cost for this as there may be a requirement for asbestos surveys and removal.

Please note that there is a restriction on purchasing third party devices (headsets etc.) while the rollout is ongoing.

Tips:

Phone pickup: If a phone rings in a pick up group and you would like to pick it up, Press the Pick-up soft key on the display.  *3 from the old system will not work.

Voicemail:  To access your voicemail from elsewhere, call 0141 330 4100 and follow the prompts.

Call forward settings: Staff may have call forwards established on the existing system.  These will be removed at system level.  Staff will then need to re-establish any call forwards on the new phone.  The instructions as to how to call forward are on the basic phone features leaflet.
