E-mailing groups of students (The CLASS service)

The class email system should not be used to advertise commercial services to students or otherwise contravene the University IT regulations:-

About

  • The CLASS service allows you to email all students or selected groups of students.
  • The underlying lists of students are kept up-to-date automatically.
  • You do not need to know the names or matriculation numbers of the students concerned, only how to select the group of students that you want to reach.
  • Messages to large numbers of students and messages from certain categories of sender are directed automatically to postmaster@glasgow.ac.uk for approval before being sent out.
How do I find the course codes?
  • course catalogue on course pages and lists.
  • The current list of 4,000+ course codes and their meanings can be obtained if you send an e-mail message to majordomo@glasgow.ac.uk with the body text:
     get class codes
How does it work?

You send an email in the format
"class--COURSECODE"@glasgow.ac.uk

example: for course code LAW1001
"class--LAW1001"@glasgow.ac.uk

  • a + symbol is used to send to more than one course eg to LAW1001 and LAW1002
    "class--LAW1001+LAW1002"@glasgow.ac.uk
  • The ampersand character (&) is used to select on multiple criteria.
    "class—U_1&F_ARTS"@glasgow.ac.uk will reach all first year undergraduates in the College of Arts.

Note: you can use upper or lower case


Other criteria

As well as course codes there are a number of other criteria you can use to select students. These can be used on their own or in conjuction with course codes in the form &COURSECODE.

Postgraduate

(P_ prefix)

  • numbers (1 to 8) indicate curriculum year of Postgrad study
  • 9 means "9th or subsequent year of PG curriculum study"
  • E means "not final Postgrad curriculum year"
  • F means "final Postgrad curriculum year"
  • A, B, C, D mean respectively Attendance Years 1, 2, 3, 4 (a student re-sitting First Year once is Curriculum Year 1, and Attendance Year 2, i.e. P_1 and P_B)
  • G means "Attendance Year 5 or greater than 5"

e.g.
"class--P_1"@glasgow.ac.uk - goes to all first year postgraduates

Undergraduate

(U_ prefix)

  • numbers (1 to 8) indicate curriculum year of Undergrad study
  • 9 means "9th or subsequent year of UG curriculum study"
  • E means "not final Undergrad curriculum year"
  • F means "final Undergrad curriculum year"
  • A, B, C, D mean respectively Attendance Years 1, 2, 3, 4 (a student re-sitting First Year once is Curriculum Year 1, and Attendance Year 2, i.e. U_1 and U_B)
  • G means "Attendance Year 5 or greater than 5"

College shortnames :

(F_ prefix)

  • ARTS = COLLEGE OF ARTS
  • MVLS = COLLEGE OF MED VET AND LIFE SCIENCES
  • SCIENG = COLLEGE OF SCIENCE AND ENGINEERING
  • SOCSCI = COLLEGE OF SOCIAL SCIENCES
  • EXTERNAL = Students registered with external organisations (eg Glasgow School of Art
  • SERVICES = GLASGOW INTERNATIONAL COLLEGE

"class--F_SOCSCI"@glasgow.ac.uk - goes to all Social Science students.

"class--U_1&F_SOCSCI"@glasgow.ac.uk goes to all first year Social Science undergraduate students.

Classification code :

(C_ prefix)

  • ORD = Ordinary
  • HONS = Honours
  • RES = Research
  • TGT = Taught Higher Degree
  • UCER = Undergraduate Certificate
  • NON = Unclassified

e.g.
"class--C_RES&P_1"@glasgow.ac.uk - goes to all 1st postgraduate research students.

Method of study :

(T_ prefix)

  • F = full-time
  • P = part-time
  • T = part-time paying full fee

e.g.
"class--T_P&F_ARTS"@glasgow.ac.uk  - goes to all part time students in the College of Arts.

Attendance status

(W_ prefix)

  • DIST = Distance Learning
  • ENRL = Class Enrollment
  • ERAO = Erasmus Outgoing
  • ERIN = Erasmus in
  • EXCO = Exchange Out
  • EXIN = Exchange In
  • EXON = Exams Only
  • LANG = Language Year Out
  • RSCH = Research
  • SABB = Sabbatical
  • VIST = Visiting
  • WRKP = Work Placement

e.g.
"class--W_EXON&F_MVLS"@glasgow.ac.uk goes to all students registered as 'exams only' in the College of MVLS.

Qualification code(s)

(Q_ prefix)

9 or 10 characters long. e.g. D199-2300

Adviser of studies code

(A_ prefix)

This is the adviser of studies Campus Solutions idenifier and is 7 characters long.

e.g.
"class--A_0123456"@glasgow.ac.uk - goes to all advisees of adviser 0123456

UCCA subject code(s)

(S_ prefix)

the Ucca subject code - eg D199

e.g.
"class--S_D199"@glasgow.ac.uk would reach all students in subject area D199
