Disposal of IT equipment
Background
Due to the importance of this issue with regard to the Data Protection Act 1998, a Computer Equipment Disposal policy was agreed by the Information Strategy Committee (ISC). University Staff need to be aware that our institution remains ultimately responsible for the disposal of any electronic or electrical equipment.
The University now has to comply with the Freedom of Information (Scotland) Act 2002 , in addition to our ongoing statutory obligations under the Scottish Environmental Protection Agency.
Disposal
IT Services Service, in conjunction with the University Purchasing Office, have reached agreement with:
- CCL (North) Ltd, who offer disposal (including Media), shred hard drives(in compliance with the Data Protection Act) and make best efforts to recycle. They can also scan the hard disks for serial numbers, and provide a certificate of secure destruction for each hard disk, if asked for in advance.
Charges
CRT Monitor / Television - £2 per unit.
Printers – free of charge.
Fridges both large and small £12 per unit.
Department's contribution to the Pick-up Fee.
NB: CCL (North) Ltd will endeavor to coordinate pickups in order to maximise the number of Departments visited and therefore spread the cost as far as possible.

Procedures
- The University departmental contact will communicate directly with CCL and provide:
- complete list of the items for disposal including accurate location- particularly important in order to make the most efficient use of transport.
NB: any items added to the original list will not be uplifted by CCL. - unique identification number for each item, either a serial or physical asset number.
- full departmental contact details.
- CCL will contact you by email within 48 hours of the departmental enquiry giving the proposed date of collection with at least 5 working days notice. CCL will endeavor, as far as is practicable, to arrange pick-up within 10 working days of the initial enquiry.
Note: Media collection can only be done in conjunction with an equipment uplift. - Where pick-ups dates need to be rearranged, CCL will provide at least 24 hours notice of the new pick-up date.
- Certificates of destruction will be provided no later than 30 working days after pick-up.
- The following services will be provided free of charge:
- waste transit documentation
- certificates of destruction
- provision of return statements
- a unique job number will identify each collection from the University of Glasgow
- all products will be checked, weighed and fully receipted by CCL within 7 days of pick-up.
