System Outputs and Definitions


1. RESEARCH OUTPUTS (sourced from Enlighten)

The list of publications provided at Appendix A has been sourced from Enlighten, the University’s research publications service and should effectively list the publications as provided by you to the database in the period from 1 January 2008.  The Library has worked extensively with staff across the University to ensure that publications coverage is as comprehensive as possible.  For the purposes of this year’s PDR process, you will firstly be required to extract from this list the total number of items you have published in the last 12 months (1 August 2010 - 31 July 2011) and detail from this list, up to four of your most significant publications in this time period.  This information should be recorded under section i) a) of the research outputs section of the form.  Secondly, you will be required to extract from your publication list the total number of items you have published within the REF assessment period (2008-2013) and detail from this list your four most significant publications that you intend to submit to REF 2014.  This information should be to be recorded under section i) b) of the research outputs section of the form.  

The citation author listing taken from Enlighten has been set to display only the first author and "et al" where there are more than 6 authors.

Please note that impact factors cannot be provided in an automated manner currently.

Separately, if you are on a "research and teaching" contract (or if you are on a "research only" contract and were invited by your College to participate in the mini-REF exercise), please proceed immediately to update details of your four most significant publications using the tool contained in Enlighten http://eprints.gla.ac.uk/

2. RESEARCH APPLICATIONS, AWARDS AND INCOME GENERATION

The financial and related information in respect of grants and contracts is based on the period 1 May 2010 to 30 April 2011, while the review period for P&DR is from 1 August 2010.

Research Grant/Contract applications submitted within the reporting period, include dates, value, percentage ownership

A full list of all research applications submitted to funding bodies within the period under review; data extracted from the Research system.

Research Grant/Contract applications submitted within the reporting period, include dates, value, percentage ownership

The Research Grants and Contracts detailed are the live projects in Agresso as at 30 April 2011.

The award value is the income (price) budget, and should agree to the latest award letter (after adjusting for amounts due to external partners).

The total value of the award is shown alongside the percentage academic ownership attributable to the individual investigator.

Research Research Grant and Contract Income earned within the reporting period (generated from central sources; this will reflect the proportion of award invoiced in the reporting period)

Research Grant and Contract Income is “Income Earned” as reported in the College Income and Expenditure Report.  This is calculated by project, using the formula:

Actual expenditure (excl Estates and Indirects) / total budgeted expenditure (excl Estates and Indirects) x Total Budgeted Income (Price)

  • All data above is extracted from Agresso
  • Total Budgeted Income = Awarded Income as stated in Award letter (after adjusting for amounts due to external partners)

The total income earned for the grant/contract is shown alongside the percentage academic ownership attributable to the individual investigator.

Income data calculated as above is used for both the REF / RAE and HESA returns.


3. RESEARCH SUPERVISION/MANAGEMENT

Student DataPhD Students, give name, start date, whether you are first or second supervisor and percentage ownership

Information pertaining to student details and percentage ownership is derived from the Student Records System.

Data is provided for all PhD students who were actively supervised by an individual in session 2010/11.  The information provided includes the start date of the individual’s supervisory period, the supervisor’s status as “principal supervisor” or “second supervisor” and the percentage supervisory load for the individual supervisor.  Where students are "writing up" this is also indicated.

Please note that students will not appear in the data if, in the period  under review, their status is:

  • "Not registered"
  • "Graduate only"

Separately, data is provided on the number of PhD students supervised by the individual during the period under review. This is broken down as follows:

  • Number of PhD students undertaking research
  • Number of PhD students writing up

These totals are broken down according to whether the individual was Lead/Co. Supervisor or Second Supervisor.

Staff Data - Research Associates/Assistants and Technicians

Information relating to Research Associates/Assistants and Technicians will require to be completed by individual staff members as the information cannot readily be accessed currently through central systems.


4. DATA CORRECTION

If you have any concerns about the validity or accuracy of the data provided in your form please e-mail pdrdata@glasgow.ac.uk.  It is important that any inaccuracies are highlighted so that they can be addressed. This will help the University move towards a goal of accurate data management systems allowing staff to enter data once and the reuse for a variety of purposes including P&DR and the REF.  Any issues will be passed to the appropriate system team to address and you will receive a response outlining what action has been taken regarding your concerns.
