Types of record

Recommended 

  • Long runs of records which are occasionally needed and can be destroyed at a definite date, for example, financial records no longer required after audit period has expired.

  • Research data required to be kept until publication of results (for example, questionnaires entered onto a database and awaiting quality checking). If you are considering depositing research data please complete the Store research data(1 page, 23kb small_pdf_icon).

  • If you have any queries please telephone the Duty Archivist on ext. 5515. You should also ensure that if you are storing data that is covered by the Data Protection Act 1998 you are familiar with your responsibilities, especially if it contains "sensitive personal data" such as health information. For more information see the Data Protection and Freedom of Information Office website.

  • Personal data required for secure storage for a time limited period which may be required for giving references or validation purposes.

 

Not Recommended 

  • Records the University Archivist considers are of little or no evidential or legal value without a definite destruction date. The onus is on the transferring department to prove the case for retention.

  • Records to which review dates have been allocated because departments think they MAY need them for administrative reasons at some time in the future. A retention schedule must be agreed prior to transfer.

  • Records for which a retention period of 6 months or less has been allocated.
