Joining/Leaving the School

Procedures for Staff Members Joining the School

  • Research Group Leader to inform Group Secretary of new staff member:
    • Name
    • Start date (and end date if fixed term)
    • Position
    • Room Number
  • Secretary to apply for email account from Faculty IT at www.physics.gla.ac.uk/ITMatters/accounts/newaccounts1.html
  • New member to report to Group Secretary upon arrival for Secretary to hand out the Welcome Pack containing:
    • Emergency Contact Form (which should state room/phone number)
    • Swipe Card Form
    • School Handbook
    • Staff Card information sheet
    • Then sign the Email Account Form (in front of Secretary)
    • And collect Group Photocopier PIN
  • Group Secretary to take new member to the School Secretary to:
    • Hand in completed Emergency Contact Form
    • The School Secretary will then add the new member to the telephone list
  • Group Secretary to take new member to School Superintendent to:
    • Hand in completed Swipe Card Form
    • Collect School Safety Regulations Handbook
    • Collect swipe card
    • Collect office key
  • Group Secretary to take new member to Shane Kelly at Faculty IT to:
    • Hand in Email Account Form
    • Receive computer account login information
  • Group Secretary then to:
    • Inform Janitors of new member’s arrival and where they are based
    • Arrange for new member to be added to mailing lists as appropriate
    • Arrange for new member’s name to be marked on their office door
  • Staff member to contact Ian MacVicar to arrange to have his/her picture taken

 

Procedures for Staff Members Leaving the School

  • Staff member to:

    • Write a letter of resignation to Head of School with a copy to School Administrator.
  • Research Group Leader to inform Group Secretary of staff member leaving:
    • Name of staff member
    • Date of final working day
  • Group Secretary to contact School Secretary to:
    • Remove member from the telephone list
    • Destroy Emergency Contact Form
    • Retire Personnel File
  • Group Secretary to contact Faculty IT to:
    • Remove from the relevant mailing lists
  • Staff member then to:
    • Inform Group Secretary of forwarding address to send mail
    • Hand swipe card and office key to School Superintendent on final working day
    • Inform Faculty IT that they are leaving and to advise them on closing down their email account
