Administrative roles

The School of Culture and Creative Arts has 9 MPA staff, making up a total of 7.9 wte supporting Music, History of Art, Film and Television Studies, Theatre Studies, Centre for Cultural Policy, Centre for Textile Conservation and Technical Art History. The key areas of support are Research/Finance/Operations, Research Postgraduates, Taught Postgraduates, Learning and Teaching Student Support (undergraduate).

These posts come under the direct line management of the Head of School Administration.

A short summary of the remit of these posts is covered below.

Head of School Administration

Mrs Pauline McLachlan (1.0 wte)

Responsible for the effective and efficient management of all administrative functions and to support the School in implementing and achieving its strategic aims and objectives.  Accountable to the Head of School for the overall organisation, planning and management of support services – financial, teaching and student, research and operational support to deliver and achieve the School’s strategic aims and objectives.  Direct Line Management responsibility for all MPA staff within the School. 

  • Management of School budgets to ensure sustainability and potential for growth
  • Management and development of all School administrative support functions and structures
  • Management, deployment, motivation and development of direct report staff
  • Strategic planning, provide policy and professional advice to the Head of School and School Management Executive, ensuring effective governance, deployment of resources, planning and strategy development
  • Initiate, manage and facilitate change processes and projects
  • Developing and maintaining effective communication policies to enhance collegiality and develop best practice
  • Management of the fabric, fixtures and fittings within the School ensuring they are maintained to a high standard and fulfil Health and Safety requirements
  • Undertake project management activities and provide leadership
  • Review operational and managerial systems and procedures to facilitate effectiveness of service provision
  • HR management (staff)

Finance / Operational Administrator

Ms Jeanette Berrie (1.0 wte)

Provision of a core comprehensive, specialist and pro-active research, financial and administrative resource which includes supporting Head of School/Head of School Administration in the key areas of Finance, Postgraduate Research and Research  project activity.  Supervision of Postgraduate Administrator.

  • Administrative support in relation to research grant applications, pre and post award.
  • Financial analysis and reporting on research budget activity in liaison with PI
  • REF data collector
  • Clerk to Research Committee
  • Analysis of School operational budgets, providing Head of School/Head of School  Administration with financial update on income and expenditure.
  • Tier 4 Compliance School co-ordinator
  • Honorary/Affiliate Administration/Sickness Absence recording

Learning and Teaching Student Support

Mrs Susan Howel (1.0 wte)

Support the Head of School Administration in the  management of School  undergraduate programmes and support the Learning and Teaching Convenor, Subject Heads, academic staff and undergraduates.   Review and develop policies and practice relating to undergraduate study in order to enhance the student experience.

  • Direct administrative support to Undergraduate Learning and Teaching Convenor
  • Administrative support for School Undergraduate Programme Convenors, Subject Heads, academic staff and undergraduates
  • Co-ordinating and participating in, with relevant convenors, the analysis of feedback questionnaires, reporting on key issues and contributing towards recommendations
  • Clerk to Learning and Teaching Committee
  • Overseeing administrative procedures relating to honours.
  • Supervision of 3 School Teaching and Student support administrative assistants
  • Maintenance of room bookings
  • Contributing to ongoing process reviews
  • Developing content for School undergraduate web pages
  • Reviewing NSS results and support the development of School Strategic Plans

Postgraduate Administrator

Mr Andrew Bradburn (1.0 wte)

To provide comprehensive, effective and efficient administrative and secretarial support to Head of School Administration and the School Postgraduate Convenor. To act as the main point of contact within the School for taught and research postgraduate student issues, and act as the Principal Web Publisher for the School.

  • Direct administrative support to Postgraduate Convenor
  • Administrative support for School Postgraduate Committee and Convenors
  • Administration of Postgraduate Taught programmes in the School, assisting supervisors and supporting the Convenor.
  • Clerk to the PG, Staff/Student Liaison Committees, Exam Boards, subject area and other committees
  • Undertake statistical analysis of recruitment information for postgraduate and PG Convenors as required and carry out systematic monitoring of applications data.
  • Co-ordination of the process for School Scholarships and Prizes.
  • Disburse all financial aid on behalf of the School for Scholarships, Awards in the absence of the Research/Finance/Operations Administrator.
  • Assist in developing and delivering strategies to enhance recruitment (in liaison with RIO and College Marketing officer to maximise potential postgraduate student numbers.

Postgraduate Research Administrator

Ms Anna Pabisz (0.50 wte)

Centre for Cultural Policy Research Administrator

Ms Samantha Emanuel (1.0 wte)

Provision of a comprehensive administrative support service for the Director and other staff in the Centre for Cultural Policy Research.  To provide support to CCPR in all aspects of management and maintenance of Centre budgets, to manage and develop the information and administration systems of the Centre; to act as the liaison point between the Centre and external parties, to provide effective administrative support for the research carried out in the Centre; to provide extensive high-level support for administration and management of taught provision within the Centre.

 Provision of administrative support for Director of the Centre and CCPR staff including visiting scholars and staff funded through research projects .

  • Administrative support for postgraduate students
  • Administration and support for RCUK research projects and work packages and administrative  support for 3 PIs
  • Responsibility for organisation of data held and used by the Centre
  • Responsibility for the organisation of conferences, seminars
  • Agresso requisitioner and purchasing card holder for CCPR
  • Processing of invoices and purchase orders and monitor expenditure for CCPR in consultation with the School Finance/Research and Operations Administrator

School Learning & Teaching Support Administrators

Support the Head of School Administration/Teaching and Student  Administrator providing administrative assistance to Heads of Subject and Course Convenors, academic staff and undergraduates in relation to undergraduate Levels 1 and 2 TFTS, HofA, Music.  Act as first point of contact for students and visitors enquiries, dealing with all administrative tasks relating to UG teaching Levels 1 and 2.

  • To serve as first point of contact for students and visitors
  • Provide administrative support for undergraduate courses
  • Maintenance of student and course records (paper and electronic, MyCampus)
  • Add and maintain new courses on PIP
  • Raising agresso requisitions and maintain financial records
  • Stationery requisitioning and raising building maintenance requisitions
  • Clerk exam boards and school wide meetings
  • Arranging conferences, seminars and pre-sessional courses, catering, accommodation, invitations to contributors, advertising and organising travel as and when required
  • Performing other administrative duties as agreed with Head of School Administration

Resource Centre Manager

Miss Marion Lawson (0.6 wte)

Provision of detailed specialist knowledge and experience of library and information management systems to support teaching, learning and research activities within the School’s subject areas, and in particular History of Art.

  • Responsible for the planning and prioritising of the specialised subject and administrative responsibilities relevant to the post, and for ensuring that agreed targets and objectives are met.
  • Responsible for the prioritising of bibliographic enquiries and other academic requests from students and teaching/research staff to ensure effective provision of information to exacting standards.
  • Planning and implementation of specific project targets
  • Evaluation of specific Resource Centre collections for digital capture and meticulous subject tagging.
  • Responsible for the design and implementation of mechanisms for the efficient yet flexible supply and regulation of teaching and research materials
  • Management of financial budgets allocated for the purchase of Resource Centre materials.
