Commitee Meeting Minutes


Cecilian Society Committee Meeting 27th January

Present: Lucy, Julie, Ben, Erin, Alice, Rob, Cat, Alison

1.  Item 1

2. Last Week’s Minutes

3. Correspondence

  • The ad from Russell’s arrived.  It is on a bit of paper.  This could be a problem because we need it on a disk.  Alice is going to speak to Neil about it.

  • Alice also got an e-mail with the ad from the King’s.  The attachment doesn’t work.  The King’s told her they didn’t have Pagemaker but they would send it as a JPEG.  She is going to see if we can get the attachment open on another computer.

  • We also received two ticket orders through the mail.

4. Room Bookings

  • Gregor was annoyed because someone was in the Committee Room when he wanted to use the piano, so he had to go to Ben’s house and pick up the electric piano.

  • Rob is going to liaise with Jenny and find out when the rooms need to be booked.

Ewan and Kathryn arrived at 6:15pm

5. Complimentary Tickets for Kiss Me, Kate

  • We are going to write the recipients of these tickets a letter offering them a choice of day, but letting them know the best seats are gone for Friday and Saturday.

  • We are going to give two to the President of the QM and two to the SRC President.

  • No honorary members have booked yet, but some associates have

6.  Charity Tickets

  • Alison has not done what she was supposed to as she was busy

  • Lorna suggested fostering support groups might be interested in having tickets

  • The Student Volunteering Co-Ordinator at the John Mac might have contacts for this.

7. Weekend Away

  • Cat is waiting for our first choice to get back to us.

8. New Piano:  Insurance and Living arrangements

  • Ben’s flat is not safe

  • It is going to live with Erin, Julie and Lisa until the cupboard is sorted out. Someone needs to come and pick it up when it needs used, as they cannot carry it.

9. T-shirts

  • It was suggested that T-shirts and rugby shirts could be put in the raffl

10. Programmes

  • Everything needs to be sorted out

  • The first draft will be ready on Sunday

  • Cat’s law firm is giving us some money, potentially

  • If this is true, we need the information by Monday so we can acknowledge them in the programme

  • Alice and Cat are going to sort it out

11.  Joint Affiliation

  • We can’t do it as we don’t meet the GUU’s requirements

12. Sub-Committees

  • Erin hasn’t done anything

  • Lucy is going to catch up with Pete and find out what’s doing there

13. Burns Night

  • Cat has multiple haggii

  • And a big oven

  • We discussed the options for cooking the haggii

  • Cat has made little directions for little people

  • Ben gave Cat the Burns money he collected and also CDs with Burns poems and songs on it.

Lisa arrived at 6:30pm

  • Chappers, as President, has to welcome everyone

  • She is not allowed to do this by singing a song from Cabaret

  • Everyone must bring booze

  • Ewan was worried about Cat’s cooking

  • If there are vegetarians coming they have to say

  • Ewan’s worries were resolved by people volunteering to help and bring mashers with them

  • People can only smoke in the kitchen, and only after the food has been served.  Until then there is a lovely garden.

14. Insurance

  • Pete has been doing insurance stuff

  • The piano is going to be covered

  • There was a question over whether we needed cover in case an Exec member or a Ticket Manager nicked off with lots of cash from Society funds.  We figured if they did this it would be our own fault, and the cover was very expensive anyway

15. The Clubs and Societies Fair

  • People need to help man the stall

  • Lisa and Alice are doing set up prior to 10am, and Alice will stay til 11, Erin will arrive at 11 and they will stay on until Ben and Rob arrive later on in the day.  A few other people offered their help.

  • It is a ticket selling opportunity.

  • The set-up people need flyers and posters.

 16. Sponsorship

  • Blanket and Jumpin’ Jaks have not got back to us

  • Russell’s are negotiating a two-course food deal with Alice where we pay five pounds each, for between the matinee and the evening show

  • Apparently we can all fit in there

17. Raffle Prizes

  • We have raffle prizes, including one from Peckhams’.

  • Including tickets for next year’s show in the list was suggested.

18. Gregor’s Queries

  • Did anyone know when the band parts were available?  Apparently it is the 7th of February.  Julie will confirm this with Musicscope.

  • Gregor needed room bookings, for either Tuesdays or Wednesdays starting around the 9-10 Feb.  Rob will check availability at the Turnbull Hall and the other Chaplaincy.  Gregor needs to check out with his band what is suitable.

19.  Committee Postering Day

  • After the Clubs and Socs Fair, at 4pm, the committee are going to poster and flyer campus. 

  • Kathryn will locate Blu Tack and drawing pins

20.  Announcements

  • People were butting in on announcements last week

  • This is cliquey and annoying so please don’t do it
