Commitee Meeting Minutes


Minutes of Committee Meeting 18 November 2004

Present: Ben, Cat, Erin, Julie, Lucy (Chair), Lorna (Minutes), Alice, Alison, Rob, Ewan, Kathryn, Lisa and Pete
In Attendance: Rev. Nicola Margaret Coffield and Mrs. Libby Young

Meeting started at 6.05pm

1. Last Week’s Minutes

2. Matters Arising

Sunday Room Bookings

  • Rob didn’t speak to Laura Kane. Someone else has Committee Room 1 from 4 – 5 pm on a Sunday

Christmas Choir

  • Rob is no longer involved in Christmas Choir

Tech Sub-Committee

  • Only Jonny B turned up to the tech sub-committee meeting on Wednesday

3. Correspondence

  • We received a letter from Amanda Ritchie confirming that the Mitchell is in fact closing this year
  • We got an e-mail from the SRC about affiliating to the GUU
  • We received an e-mail from the Glasgow University Guardian asking if we want to be in their what’s on guide. Lorna replied saying that they can even do a feature on us if they want

4. Publicity

  • We have the posters and flyers in our possession
  • Kathryn and Ben have receipts for their taxi they used to pick them up

5. T-Shirts

  • Nothing has been done about t-shirts as yet
  • Kathryn will e-mail quotes round during the week
  • Ewan still doesn’t like the Cecilian logo on them, we will try and get the one that was used on the Boogie Nights t-shirts from Nicky
  • Everyone thinks that the skinny-fits were a good thing and so we should give people the option of them
  • We should get the cast to pre-order through us and pay in advance. Pete will get the order from the tech crew
  • We will have the costings next week and start to take orders

6. Joint Affiliation

  • We got an e-mail from the GUU saying that if once all our QM members are subtracted we have over 50% GUU members in the remainder we can affiliate to the GUU
  • Rob doesn’t think that this is actually the rules and thinks that the society has to be 50% GUU membership to affiliate
  • Lorna will speak to the Honorary Secretary for clarification of the rules
  • If the e-mail we got is right there is no reason we can’t have joint affiliation

7. Ceilidh

  • This is tomorrow
  • We have not sold many tickets although many randoms have told Cat that they want to come including the Scottish Country Dance Club. All people who e-mailed in advance will get reduced rate tickets
  • Rob doesn’t need to buy a ticket as he booked the function
  • Cat has made up a door rota for the committee

8. Dinner Dance

  • Nothing has been done since last week

9. Christmas Choir

  • Rob’s not involved anymore
  • Aimée doesn’t know when the concert is
  • Perhaps the Sunday before we will sing in Buchanan Galleries for Marie Curie again. Aimée will liase with Ewan and Adele
  • We discussed doing old people but decided we couldn’t be bothered as they’d probably die or just fall asleep
Nicky arrived at 6.25pm

10. Nicky’s Fanny

  • Apparently Nicky’s fanny is shaved. Ewan has seen it

11. Costume Budget

  • Alison suggested that we don’t have a costume budget at all and just make the costumes out of Nicky’s shaven pubes. Nicky says this could do us a two week run
  • Originally £50 was allocated on the basis that the entire cast would contribute
  • Nicky feels that it is unfair to ask the chorus to contribute £5 when they get no return and will have to provide their own costume at a cost to themselves so wants a budget of £150
  • The problem is we have already stripped the budget down to its minimum due to our huge theatre and rights costs and we can’t really budget for a deficit
  • Our options would be to try and find £100 from the budget and/or charge each cast member £2 or to only charge those needing costume for costume
  • Sponsorship is not included in the budget and neither is make-up or photocopying
  • An option for next year would be to charge more for membership although this may mean that less people join
  • Pete will get new quotes and will try to trim the budget down for next week so that we can give Nicky another £50 and make our final decision on this matter
  • Nicky will attend the meeting again next week

  • This week Lisa will have to announce:

    • Curlers

13. Ticket Manager

  • Libby needs a cast list
  • She will speak to Ben and Lucy to sort things out

14. AOCB

Piano

  • Gregor e-mailed Ewan to say he has found a piano for £599
  • We can’t buy it now as we have nowhere to store it
  • Rob will speak to Heather about getting a cupboard
