Commitee Meeting Minutes
Minutes – 15/1/04
Present: Ewan, Julie, Tony, Becky, Edward, JP, Kathryn, Ben, Cate, Eliza, Ali,
Lucy (late, tut tut!)

Special Guests: Dave Glover, and Guys and Dolls Production team
Matters Arising
- JP has sent the ticket sales from OOTI to Joseph Weinberg
- It is still unclear as to whether the piano in the Woodside Halls needs tuning (JP)
- The OOTI rehearsal material has not yet been sent back. (ALI)
- The cottiers have invoiced us for approx £1900 this will be signed off tonight. If we forget (JULIE/GRAEME)
Correspondence
- Hugh Gould has sent us a Christmas card!
- Ski has also sent us a Christmas card (Ski rocks!)
- The SRC are having a clubs and Societies fair on
the 17th of February (CATE) is waiting on the form to fill in and will get sent
off Asap.
- Jim McDowell has sent us a very nice letter,
saying that he thoroughly enjoyed OOTI, and it was nice to see something off the
beaten track.
- The rector could not make it but he sent a very
nice letter of apology.
- The OOTI fansite (they have one??!) has also
written to say well done.
What committee members are responsible for!
- Ewan handed out a very nice list
Kathryn objected to this but Ewan merely suggests she bites him, in addition to
which:
- Newsletter for January (CATE)
- Membership for new members needs to be taken at first rehearsal (BECKY)
- Website – Ewan and Eliza will meet up for a tutorial esque session, Eliza is
free on Monday (Cate made crap joke about this that no-one got so she
apologises) (EWAN, ELIZA)
- Stores – Nicola has returned her keys to Edward he will keep hold of this set as
he needs them as store manager, Ewan has a set and the set Jon had have gone
straight to Laura. Sarah Watson has the other set and need to give these to
Pete. As far as we are aware we still have 2 missing sets. - The state of stores as stands is ok, but really needs doing again after Guys
and Dolls, there will be an attempt to get as much building done in stores
rather than office.
- Suggestion, could we get some plastic boxes to put costume in as would take up
less room and would be safe from damp. (EDWARD)
- Social – Burns night, we might not bother, but Ewan will find out if we can use
his flat – more talk on Sunday
- Pantheon are putting on ‘return to the forbidden planet’ in G12
next week – go on Friday? Tickets are £4
OOTI Post-mortem this will be discussed via email (ALL involved) we must let
Lynn, Steve and Jon know as well
Ticket manager
- Edward and Tony are collaborating to become a team on FOH and
ticket manager, seats are none allocated so worries about double bookings were
flying but they are very organised and Tony will take orders on Thursdays and
Edward on Sundays and they will meet up in between to process. Tony will email a
plan to those still concerned
- Charity tickets for OOTI didn’t go well only one turned up. We are going to
contact now, it might be a better option to go for the volunteers of charity
shops rather than charities in general as more likely to bring husbands and turn
up!
- Guys and Dolls is already cursed as Ewan got a discounted suits again form
Oxfam.
Posters and Flyers we need to decide on a final and send to Ronnie ASAP, can
we get the legality details before Tuesday 12pm (JP) so they can be added before
next Thursday so we can send off after that (KATHRYN)
AOCB
- The minutes for meetings leading up to Guys and Dolls will be sent to
Production team. (CATE)
- The Budget meeting will be on Sunday 25th at 6pm.
- Ticket prices will be same as for OOTI £5/£8, and the ticket line
number will remain the same
- Adverts, need to be done ASAP, i.e. sooner than they were for OOTI
(LAURA)
- We need to pick up the money from curlers (JULIE/GRAEME/LAURA)
- We also need to send out sponsorship letters? To be honest I don’t
know that this is what was said as my notes are vague and merely say –
sponsorship letters (LAURA)
- Again its vague I have no idea what the following means, but its
what I wrote! Material venue – ok (THE PERSON WHO KNOWS WHAT THIS MEANS AND WHAT
THEY ARE SUPPOSED TO DO ABOUT IT!)
- Postering needs to be done two weeks before the show, and again on
campus the week of the show. It really needs hyping up (KATHRYN)
- Can all announcements during that need to be made at rehearsal be
made at 8pm only thankyou
