Commitee Meeting Minutes
Minutes Cecilian Society Committee Meeting 06/02/03
Present: Nicola, Libby, Jenny, Cate, Ali, JP, Eliza, Liam, Nadia, Tony, Adele, Chris. Sam.

Last weeks minutes proposed – Ali, seconded – JP.
Meeting opened 6.05pm.
1 - Correspondence
- Eliza wrote to complimentary ticket people. These were the QM president and honorary secretary, SRC president and SVP, GU president, Greg Hemphill.
- JP sent out 50th anniversary mail. Honorary members who didn’t come to the 50th will get letters about complimentary tickets this week.
- Ali emailed Central Room Bookings about concert hall. Apparently they now don’t book it. Ali will now try the Music Department to book it.
- Cate got a letter from an associate member wanting his complimentary tickets. Associate members don’t get that. JP will reply.
- We now have sponsorship cards from Curlers.
- Jenny got a reply from the dialysis unit. The trip will be popular. Don’t have definite numbers yet. The numbers of wheelchairs that can fit in will be limited – Jenny will let them know.
- Stag gave us two complimentary tickets for their next show to put in the raffle.
- Liam asked whether they could get tickets for £5 if enough of them come on the Thursday night. We don’t get discounts for their shows, and we do have a discount system for groups, but this may not be very easy for groups such as Stag to use. We are getting free tickets from them for the raffle. Could be that they only get the discount if they order through Liam. He has emailed Lorna to ask her what she thinks. We don’t really want to set a precedence of changing ticket prices. We could suggest to next year’s committee that they look at different ways of doing discount tickets as the current system was designed for schools to come with a free teacher and this doesn’t happen very often.
- The piano is being tuned and checked a week tomorrow (Friday). He will tell us whether we should return it.
- 50th accounts balance. Money will be transferred from that account this week. More money will go back in than came out at the start of the year.
2 - Weekend Away
- Libby will book a 17 seater bus. We will also need a car. Adele could take her car if others drive the bus. We will need to see who can drive the SRC mini bus.
- The price per person will be £35. This includes bus and petrol, food and accommodation. Depending on what we end up doing, activities may cost more.
3 - West Side Story
- Raffle is going very well. The collection went well – special mention was made of Edward Barlow’s efforts. Well over 60 prizes with more to come.
- Jenny’s new friends at the laundrette donated us a lamp cause it goes on when the wind blows in the lady’s flat. How nice.
- We should get 600 programmes. This is more than last year but we have a bigger cast and it’s nice if everyone can get one.
- Pantheon took the back page advert at £150.
- T-shirts. Adele took the disc to the printers – wrong format. Nicola has done it again and will email them the design tomorrow.
- Ticket line phone wasn’t working. Tony has given Lorna his old handset. Should work now – we can test it tonight.
- Adele phoned Kings about flyering the theatre. She will check what is on in the next couple of weeks. Adele and Jenny postered the Uni. Everyone should take two posters and put them up. Can’t put them in the QM as they advertise Curlers.
- Rachel Swann can do one night for front of house.
- Ali hasn’t had time to look for a venue for the citz probe. Eliza will try this week. She will look at how much the dining room at the GU is. Council buildings are a last resort.
- The CRB have messed us about a lot with bookings this year. We should make a formal complaint. JP will email Jo Odds to see if the SRC can get involved with a complaint as it may have more force behind it.
- We had problems on Sunday with the Food Factory. Lucy is talking to the General Manager about it.
- Collecting money for alcohol for the after show party worked well last year. We should do it again. Everyone will be doing the get-out so should arrive at the party at roughly the same time.
4 - Social
- Chris spoke to the Hilton. Has provisionally booked 2nd May (a Friday). There may not be the same people in the band as last time, but it will depend on who is available.
- Tony will write to Bobby Brown about being the guest speaker.
5 - AOCB
- Ali will announce the parties after the shows tonight. Will look for a bigger flat for the after show party. Jenny is looking into clubs. Will ask for 100 passes.
- Theatre trips – Jospeh is the week after show week at the Theatre Royal. Cats can be announce tonight to see if there is interest. Can also go to Jesus Christ Superstar.
- We should ask if there are any first aiders for when we are in the theatre. Eliza and Tony are for starters.
- Liam can do CDs for people if they give him a CD or 40p so he can buy them.
- Jenny has organised the whorehouse video. It will be ready this week. Mark said he will bring other videos to the show.
- Stag haven’t taken over our rooms. We are still waiting for the thesis student to finish before we can move. JP had Liam’s key.
- We have a draft version of the programme. Adele will take it to Clydeside when it is ready.
- People are taking photos of the run on Sunday.
