Commitee Meeting Minutes


Minutes Cecilian Society Committee Meeting 30/01/03

Present:

Libby, Gregor, Nicola, Cate, Jenny, Chris, Tony, Ali, JP, Eliza, Nadia. Ewan. Sam and Lucy joined the meeting at 6.40pm.

Meeting opened: 6.07pm.

1 - Correspondence

  • Ian Campbells friends are coming to the show.
  • Sandy Browns cheque has definitely been paid in. Libby emailed him to tell him.
  • Cate and Jenny will try to sort out sponsorship cards on Monday with Curlers as Cate had still had o phone call from them. Curlers had forgotten but now they remember, and it should be sorted this week.
  • ABC cleaning are giving us £17 of ironing for the raffle.
  • Stag emailed Chris to see if we wanted to do a karaoke night with them. We do, but not this term. She will let them know.
  • Tony heard from the Befrienders. They want four charity tickets to put in the raffle. Tony has told them that they can have more free. Will see what they say.
  • JP emailed a disability charity in Renfrewshire. He hasn’t had a reply yet.
  • Jenny hasn’t yet heard from the dialysis unit.
  • The sponsorship money from Curlers is in the bank.
  • Ali got the tickets and seating plan from the Mitchell.
  • He spoke to Central Room Bookings about a venue for a concert party concert. No reply yet.
  • Jenny checked again with the London company about a banner. It would be over £200, as would all other places she tried. We don’t want to spend this much.
  • Mail shot will go out on Saturday for the 50th mailing list.

2 - West Side Story

  • Tony will point out the financial aspect of the EGM before the vote tonight.
  • Photos will be done in an extended break.
  • Chris spoke to her expedition group about front of house/raffle. They are happy to do it. She will speak to Lorna. Libby also got a couple of email about front of house so will pass the names on to Lorna.
  • Jenny is going to try and get raffle prizes tomorrow. Help would be appreciated. It will be after lunch with Duthie.
  • Moir Hall is booked on Sunday 22nd. It’s not clear if it’s booked on Saturday of the show. Ali will check again with Central Room Bookings for another venue for the Sunday rehearsal.
  • We need to ask Adele when we are postering tf we know he uni.
  • Mock up of programme was shown around. If we know who is donating raffle prizes, we can put them in the programme. Theatre Guild is not putting an advert in. Any acknowledgements should be told to Ewan or Gregor very soon.
  • £40 was paid to the QM. It was for Whorehouse cleaning. We didn’t get an invoice which is why it wasn’t paid earlier.
  • Piano is still bad. Tony apologised for not sorting it out. He will do it this week.
  • We need to find out what is happening with our office, eg. When we are moving.

3 - Social

  • Parties: Nicolas for curry night. Jenny will phone clubs about club night. Jenny/Adele/Liam/Laura’s flat for the tech party. Looking for after show party venue. (Kerry Burley offered hers during the rehearsal – if it’s big enough).
  • Ali will remind everyone about the ceilidh tonight.
  • Hilton didn’t have info about us from last year. We get the cheapest meal. Discussed different rooms. We will ask for a show of hands for a rough idea of numbers. Ball park of 50. Could have tables in smaller room and move them away for dancing later on. Chris will phone again. Dates – Will try for Friday night, or 2nd or 9th May. She will see what we can get and provisionally book one of them. Better for exams if it’s earlier in the term.
  • Christmas karaoke – made £110 on door, £94 after reimbursing Chris. Curlers paid for both the food and the karaoke.
  • Theatre trips – Could go to Cats, sing-a-long Joseph. Chris will look into it.

4 - Weekend Away

Libby will try to have an estimated price for next week so that we can announce it and get names. Will have to be first come first served, but there is a possibility of camping or another hostel. Will see what the interest is first.

5 - AOCB

  • Costume budget hasn’t been used yet. Some people haven’t paid their £5 yet.
  • Some scripts haven’t been paid yet.
  • Nicola still has Cate’s jumper.
  • Laura had a medical contact who would have put an advert in the programme because of the number of medics in the show and audience. Need to remember this next year.
  • Laura’s friend Neil wants to do a documentary of the making of the show for his course. He will also film the show for us. He will do some backstage filming. Sounds great.
  • Anthropology student Rachel – wants to ask some questions and take some photos for a project.
  • Gregor wants to clear a space in the cupboard for electric piano.
