Commitee Meeting Minutes
Minutes Cecilian Society Committee Meeting 23/01/03
Present: Libby, Eliza, Nadia, Ali, Tony, Nicola, Cate, Gregor, JP, Jenny, Chris. Ewan, Sam.
Apologies: Liam, Adele.
Meeting opened: 6.05pm.
Amendment to last weeks minutes – Classic Lift make stair lifts, not fork lift trucks.
1 - Correspondence
- Minutes didn’t arrive – they were sent last Friday. Libby will send them again.
- JP needs to get current members addresses for a 50th anniversary mailing list.
- Tickets are being picked up tomorrow.
- There is a provisional booking for a dance on the Friday night of show week in Moir hall. Ali has said we don’t want this. They are considering whether to allow it or not.
- QM now has Sam’s fax number for confirmation of rooms etc.
2 - Rugby shirts
It was suggested that as many committee members as possible should wear rugby shirts form next weeks rehearsal to promote the fact that we are selling them.
3 - Review Meeting
Tony wants a review meeting to discuss how the committee is working and how to improve. We don’t have much time just now, so suggestions of how to do it were made: email; informally in the pub; end of meetings. We will do one at the end of the year, but that will be too late for improvements. It was agreed that the last 5 minutes of meetings could be used for if anyone has a point to raise about how the committee is working.
4 - West Side Story

Charities
- Liam has a charity – there could be about 17 people coming from there. We ill get him to ask them if they want to come.
- Jenny suggested dialysis unit at Gartnavel take people in trips. There could be 30 – 40 people from there. She will write to them and ask for numbers.
- JP and Tony suggested the Befriender Scheme as that is what they do – eg. Take people to things. Tony’s Mum works for them, so he will ask her about numbers.
- Once we have these numbers, we can decide if any more are needed. If so, charity shops were suggested – for people working in charity shops.

Publicity
- Jenny asked Media Services about a big poster for outside the Mitchell. They said £266. A company in London quoted £70 – can be delivered in 24 hours.
- Postering is on Saturday at 1pm. Jo Odds hasn’t got back to Libby on the stamp yet (but then if no one got the minutes – maybe my email isn’t working). She will go again tomorrow and see her in person.
- Jenny has a radio show. We could sing on it. Jenny will plug the show anyway.
- The T-shirt design has been given to Adele.
- We should find a good location for photos before asking newspapers. We could get the charities involved in the publicity.
- Tony will contact the GU Guardian.

Raffle
Chris is planning a trip to Ecuador through the university. She is doing lots of fundraising with her group. She asked whether they could hold a raffle at the show. It was agreed that a possibility was that they could donate prizes, and we could give a donation at the end/split the money raised. It was also suggested that some of her team could act as front of house people. Chris will go and ask them, and speak to Lorna Bailey, then we can discuss it next week.

Programme
Ewan needs a bit from Tony as President, JP to do a general Cecilian Society bit, and info on adverts from Jenny. Also need the chorus list. Ali will read out names of people who don’t tick tonight to see if they are still coming.

Other WSS stuff
- Dressing rooms still a potential problem. 4 rooms for 25 people each. 87 are in the cast, and the band need storage. May be room in the cloakroom.
- Libby can move electric piano on day of citz probe in her good friend Bo. (land rover)
- We haven’t got access to the theatre on the Sunday, or Qudos (provisionally booked for bands). Ali will phone and find out if the Moir hall is free, and how much it costs. Uni concert Hall is also a possibility. Ali will look into it.
- Trevor is coming next week to take photos. Will ask Laura about costumes.
5 - Weekend Away
Libby checked to see if people wanted her to try and get deposit back and change the place if the lounge was too small. Everyone agreed to keep the same place. (General enthusiasm for cosiness and a hot tub).
6 - Social
- Burns night. Renfrew Ferry booked up this week, and no ceilidhs for a few weeks. Will go to the Riverside Club next Friday (31st). Will meet at the crystal palace at 8.00pm. Its opposite Woolworths.
- Dinner Dance. Various speakers were discussed. We will ask Bobby Barr. It should be in the 2nd week of third term, so that we can have the AGM in the third week.
Chris will speak to the Hilton. Tony will ask Bobby Barr.
7 - AOCB
Jenny is picking up £1000 from Curlers tomorrow. Tony will meet her to pay it straight into the bank. She will ask about sponsorship cards.
Ali wants committee members to stop talking in rehearsals.
everyone who wasn’t at lunch with Duthie on Friday missed Duthie’s only appearance this term.
