Commitee Meeting Minutes
Minutes Cecilian Society Committee Meeting 16/01/03
Present: Tony, Ali, Eliza, Nicola, Jenny, Libby, Gregor, Adele, Liam, JP, Nadia, Cate, Chris. Sam, Laura, Ewan.
Apologies: Lorna Bailey.
Meeting opened – 6.04pm (not bad)
Previous minutes proposed by Adele, and seconded by Eliza.
1 - Correspondence
- Ali – had letter from Sam French. Amount billed was wrong. Ali will send the information again.
- Jenny – We got no sponsorship from the Council, but we did get £250 from Classic Lift Scotland (forklift truck company)!
- Liam – had a letter about keys. It seems to refer to the old room. Liam will hold onto it until we move. Will put key holders as being Tony, Liam, Eliza will get a spare set, and one set will go to whoever is on the production team at the time of the move. Nicola could also have a set as she is on campus.
- Gregor got a message from Sandy Brown. His cheque was never cashed. We have it so will cash it. Nadia had a letter from him. He wants to be reminded when associate membership payments are due as he forgets. JP will try to do this. He also asked about video of the concert. Gust have it and are editing it. JP will ask his sister if they can do Whorehouse as well.
- The band parts have arrived.
- Cottiers Theatre sent us a Christmas card.
2 - West Side Story
- We need to ratify the show. Libby will send out an email tomorrow, so the EGM can be in two Thursday time.
- Gregor and Ewan are doing the programme. Nicola will phone Trevor to see if he can do the photos, and when. We should give him something as well as tickets this year as he does a lot of work for us. A bottle of something was suggested. Costumes will be used if they are ready. We need to find out when Trevor can manage to come before deciding on a date for photos.
- Ewan is getting prices from Clydeside for the programme. It was suggested that the programme should be sent to the printers at least three weeks before show week. The end of January should be aimed for if possible.
- Jenny will try to get as many adverts as possible for the programme. Prices are the same as last year.
- Nicola has done a rough design for t-shirts. Decided it should be bigger. Some people didn’t like the buildings. Nicola will play around with it, and bring another design on Sunday. If the committee like it, Adele will take it to the printers. It was decided that the URL should be taken out.
- Sat 25th is postering day. It will start at 1pm outside QM. Will put posters up only in West End, up to the Kings Theatre, remembering Ashton Lane.
- Charity tickets are for the Wednesday night and Saturday matinee. Will discuss the charities next week.
- Eliza is to write letters about complimentary tickets. We should give some to Laura’s aunt for helping with the skirts. Curlers get, and we should offer our new friends Classic Lift a couple.
- Could see if the Evening Times will take a photo of us. Also we should see if the GU Guardian will do something on it.
- Sam wants a big poster outside the Mitchell. It was decided by the committee before Christmas that we wouldn’t do this, but Sam wanted us to reconsider. Adele will try to find out how much it will cost, but we can still only get it for the week before and the week of the show. Will discuss it again next week.
- A downloadable form is now available on the Internet for the show.
- Raffle. We will advertise it as being for our funds. If we find that we don’t really need the money after the show, we could donate it to charity but we will decide that at a later date. Jenny is in charge of the raffle, and Lorna will be in charge of it at the actual show.
- Room bookings. Sam will give Eliza a list of rooms that they need. We need the Food Factory as much as possible on Thursday and Sunday nights. Eliza will try to get it. We also need a rehearsal in a bigger space – Qudos or the Moir hall are possibilities for the Sunday of show week.
- There may be problems with dressing rooms. The cast is a lot bigger this year, and may need all the dressing rooms. The orchestra also need places to put their stuff. Ali will check what storage space is available.
- We need some fireproofing. Ewan found some. Tony will give details of other stuff we could get to Ewan.
3 - Weekend away
- Libby will put out forms next week for people to say if they want to go. Can choose whether to take sleeping bags or not.
- It was generally agreed that we should do something on the way home to break up the journey. Will still be home late afternoon.
- Libby will email other questions to the committee next week about this as there isn’t time just now, and there are more urgent things.
4 - Social
- Miss Saigon will be announced tonight. If anyone wants to go, Chris will phone to see if there are tickets.
- Chicago will also be mentioned to see if there is interest in going to the cinema to see it.
- Burns night. Chris will phone the Renfrew Ferry about Friday, Saturday, and next Saturday night to see if they are open to the public, so we may have it a week late. Could have haggis etc after postering – possibly at Cate’s flat – she needs to speak to her flatmates. Will be decided on Sunday which day we will do it.
5 - SRC Meeting
- Libby went to this on Wednesday. We got commended for our good accounts, along with the motor sports society.
- We got a grant of £271.20. To claim it, we must take receipts to the office and sign some forms. Nadia and Libby will do this next week.
- We must put the SRC logo on any publicity from now on. A rubber stamp can be used if already done. Libby will go and ask about our flyers since there are ten thousand of them. The SRC will send out a logo by email in the next few days to be used on material. Libby will email that to Adele when it comes.
- Libby has forms for a pigeon hole that she will hand in.
6 - AOCB
- Mark will give videos of shows to Tony.
- Ali said a big thank you to the Christmas choir.
