Minutes Cecilian Society Committee Meeting 13/03/03

Present:

Tony, Ali, JP, Cate, Nadia, Chris, Gregor, Jenny, Libby.

Meeting opened:

6.10pm.

1 - Correspondence

  • Letter from Ian Cambell – saying well done for the show etc.
  • Ali sent 25kg of scripts back. Only one was ‘lost’. Agreed that deposits for scripts were a good idea.
  • Got an invoice from Clydeside.
  • Inland Revenue sent letter about our charity status. They wrote to Jane Skinner so we need to update it. Libby will discuss the form with Gregor after the weekend away.

2 - Weekend Away

Minibuses are booked. Libby is going to see where the hostel is on her way home this weekend. The fun for Saturday is being done by Adele, JP and Ali.

3 - Video night

Adele had booked Qudos. Will ask Ewan to bring the society video recorder. Chris will check that we can get the big screen. The bar should be open.

4 - Dinner Dance

It must be paid in full by the 18th April. Have to pay for 60 people so will pay now, and collect later. Is £27.25 per person so will sell tickets for £30. Chris will design a ticket and get nice paper, then Libby will print them.

5 - Shows and other social

    We could advertise what shows are coming up on the website, and then if people want to go, they can organise it themselves.
  • The Pantheon want to see their advert so Jenny will send them a programme. Tony will find one.
  • Chris wants her fundraising event to be plugged as a social event. Is on 30th April. Concert party want to do concert on 29th but should still be people to go to both.

6 - West Side Story

  • Video Neil still looking for people to be in his making of video.
  • Associate Member packs – programme, T-shirt, booking for dinner dance, could talk about the discount price for rugby shirts, photo of cast. Need newsletter. JP will write it or delegate it.
  • Jenny got letter from Royal Mail. The complimentary tickets from Classic Lifts never arrived.
  • Gregor will get the keyboard fixed when he can transport it. Tony will get piano fixed when he has time.
  • Tramway tickets. We haven’t been billed yet. Will be billed as part of venues letting bill. Will need to question the bill when it comes in if we are billed for them selling tickets.
  • Money has still to be banked from Lorna. Will need to ask Lorna to email raffle prize list to Jenny to go on the website.
  • Chris wants her half of the money for the raffle. It made about £531.28 but still some expenses to be worked out so Nadia gave Chris a cheque for £250. The floats don’t tally with the money. Nadia will sort it out with Lorna.
  • At this point, the voices in Gregor’s head told him to go downstairs. We are a bit worried about him.
  • Tony will check if the jigsaw is actually broken. If so, Nadia has the receipt to take it back.
  • New storeroom. – there is a back door but it has a dodgy back passage – apparently.
  • Need to tidy the storeroom since we are staying for a while – will wait till Liam is here to organise it. The list of what there is is now out of date – it needs to be done again. We may need a skip to mave things – there is still some damp left.

7 - Next Years Venue

    The new president of the QM is planning to have space that can be used for rehearsals. We should be able to book the new venue space. We could write to the QM and get them to keep us up to date.
  • Jenny has a list of people to write to – they are all covered. Tony – Barry + QM. Chris – Ashoka. Jenny – Jumping Jacks.
  • Ali will get in touch with the Crawford but gregor has heard it’s a studio theatre and probably wouldn’t work. Tramway is worth considering. Maryhill community centre could be looked at. Ali will phone around this week for other places. Cate will ask her cousin where might be suitable – Scottish Opera go round schools etc.

8 -AOCB

    Dancing will normally be 7pm – 9pm. 10pm is a bit much for whole evenings of dancing.
  • Concert Party – concerns were raised about who would come to a concert. It was suggested that we could do a concert with another group to increase the audience. Adeles befriend a granny may provide us with people to sing to. We could also contact Marie Curie and get a gig in Buchanan Galleries for charity again. If there is a concert it will have to be advertised well – we could invite the music club etc. At the end of the discussion there were still lots of concerns about the size of the audience. Ali and JP think there would be enough of an audience.
